Position Summary:

The Workload Automation & Scheduling group is responsible for engineering and support of the Workload Automation IT infrastructure for Visa Inc. and VisaNet via Vendor Tools and Homegrown Web Application Utilities. The team is responsible for all technical aspects of design and build for the Workload Automation lifecycle from project initialization, system installation, application test & build and maintenance, operational support to application and system decommissioning. • Assist florists with arranging appropriate flowers arrangements for VIP rooms, long stay guests, outlets and both hotel lobbies
• Be innovative and creative in all arrangements, particularly for festive occasions like Christmas and Chinese New Year

The base operations executive is responsible for overseeing and managing day-to-day base operations, with a particular focus on security. This role ensures the efficient and effective handling of equipment and personnel within the yard, while maintaining high standards of safety, security, and compliance. The executive will coordinate with various departments and external vendors to ensure the timely and accurate delivery of services.

Your responsibilities as base operations executive  

• Develop and implement security policies and procedures to safeguard the base, vessels, and occupants.
• Oversee general maintenance and repairs of yard and warehouse facilities.
• Provide support and coordination on logistical matters for projects and vessels in the region.
• Ensure timely revalidation of statutory certificates for yard equipment, buildings, and warehouses.
• Develop and execute sustainability initiatives to minimize environmental impact and oversee waste management programs.
• Serve as the primary contact for tenants, supervise and manage company drivers, take on driver duties in their absence, assist in pre-procurement processes, and stay updated on industry trends and best practices.

Your qualities and experience
You can move ahead as a base operations executive if you have:

• Diploma in Logistics and Supply Chain Management, Business Administration, or a related field; certification in security management or sustainability practices.
• Possess Class 3 license and preferably a forklift license.
• Minimum of 3-5 years of experience in yard, warehouse, and logistics operations, preferably in a supervisory role.
• Strong knowledge of logistics principles, inventory management, transportation planning, and security protocols.
• Strong communication, interpersonal skills, and ability to lead and motivate a team.
• Excellent problem-solving and decision-making abilities; proficiency in Microsoft Office Suite and relevant software applications; proactive and detail-oriented with a strong sense of responsibility.

Purpose:
To provide high quality service deliverables to the firm’s Real Estate (RE) Clients you are responsible for, ensuring all deliverables are met and the clients expectations are managed and met on a day to day basis.
This entails reviewing all Financial Statements and disclosures and ad-hoc client deliverables in relation to providing fund administration services to PE clients.
Expected to help improve the processes and efficiencies of the department.
Be subject matter expert of RE Fund Structures accounting and administration processes.

Core Responsibilities:

• Managing financial servicing for a portfolio of RE clients ensuring the smooth running of day to day relationship with clients and consistent delivery of client reporting/ information accurately and on time
• Be an ‘expert’ on designated clients including understanding technical details of their LPA, SLA, Fee Agreement and any technical nuances
• Minimise risk to IQ-EQ by ensuring all procedures and checklists are followed by all team members

Tasks / Duties:
Client Delivery

• Deliver timely quality service to the client to ensure all requests for designated clients are met, ensuring any client/investor queries are responded to within 24 hours
• Complete a review on designated client work (includes NAV, Financial Statements and other Ad Hoc Tasks) and assist on reviews for other teams as required
• Ensure that KPIs are developed, implemented and reported quarterly in accordance with agreed SLA’s
• Prepare quarter end timetable for all client work and manage quarter end process to ensure all deliverables adequately resourced and completed on time
• Maintain regular contact with client through weekly phone calls and emails detailing upcoming deliverables and progress thereof.
• Assist with new business take on where required.

Management of Workflow

• Work with Back Office on client deliverables to ensure adequate resources are allocated and fully utilised
• Ensure Back Office are preparing all work to a standard suitable for client review
• Provide constructive feedback to Back Office on a timely basis and ensure Back Office receive appropriate development support
• Plan workloads and utilise support team / additional resources where necessary to ensure deadlines are achieved
• Ensure reconciled cash balances are maintained for clients at all times.

IQ-EQ Fee Management

• Ensure our electronic time sheets are completed daily, and accurately for all hours worked and recording ad hoc work completed for billing purposes

• Understand and use best practice on Investran (accounting platform)
• Understand and make best use of the functionality in our software when producing accounts
• Ensure client database is up to date and accurate in Investran (contact changes completed within 24 hours of receipt) and Outlook databases for client related changes

Risk

• Ensure relevant procedures and checklists are adhered to by staff to minimise risk of errors
• Report any breaches, complaints or errors to Compliance officer promptly
• Ensure all error reports are completed for review by the Senior Accountant on the day an error is identified

Other

• Undertake any additional reasonable requests as deemed by the firm

• Act as a single point of contact and escalation for the SOC, Threat Intel and Crisis Response teams for practice-related cybersecurity incidents, ensuring timely identification, remediation and lessons learned.
• Manage the security SLA governance and provide practice-level cybersecurity reporting, metrics and forecasting to leadership.

Reporting to the Service Supervisor, in this role you will be part of a National team of Field Service Engineers providing a prompt and effective service to customers within the Water, Power, Petrochemical and other associated Industries.  

In this role you will identify faults, repair, test and modify actuators in the field, carry out planned and preventative maintenance, mechanical and electrical installations of actuators and associated retrofit adaption of components, pedestals and drive shafts and completing accurate and technical site visit reports for each job.

This role would suit a determined problem-solver, who can think logically for troubleshooting issues and has the willingness to travel.

The Salary Range for this position $48K to $55K Per Annum.

The Security Officer delivers the safety and security measures that meet the requirement of the Hotel Management.

Primary Responsibilities

Manages The Control Room

• Verifies all visitors, guests and contractors of their visit and issue pass to them after verifications.
• Records and issues departmental keys to the colleagues after verification. Acknowledges and records when the keys are returned.
• Reports and documents all incidents in the Security Management Occurrence log.
• Answers to all telephone enquiries in a calm and professionally manner.
• Records and takes pictures of all Loss and Found items surrender by colleagues or others in the “Case Property” form and thereafter to hand over to Housekeeping if there is no claimant.
• Responds to the fire alarm bell activation and activates the CERT members, Decam (Decentralized Alarm Monitoring Station), Hotel Telephone Operator and raised the Fire Alarm Bell Activation Report thereafter.
• Assists in the evacuation when the need arises.
• Assists in managing the Electronic Parking System for the Carpark, including printing the Daily Revenue Report and Settlement Report daily.
• Any other duties assigned by the Security Supervisors and Managers.
• Prepares to assume the role of a CERT member when the need arises.

Carries Out Static Duties

• Ensures a peaceful environment, greets guest coming/going out of the hotel, to report and take action if there is a disturbance.
• Ensures orderly traffic flow, advises drivers of unauthorised parking to park at designated car park and to report and take action if there is disturbance.
• Conducts checks on unauthorised parking, advise the driver to park in designated car parks, to report and take action if there is disturbance.
• Ensures only authorised contractors or supplier’s vehicles is allow to park in the loading bay.
• Ensures smooth traffic movements in the loading bay.
• Ensures the vehicles are parked in an assigned parking lot.
• Ensures no obstruction cause to other vehicles using the loading bay.
• Verifies the identities of all contractors/workers using the loading bay.
• Responds to any emergencies within 3 minutes or less.

Patrols The Hotel Grounds And Buildings

• Residence patrolling for crime prevention and to report of any incidents, disputes disturbances or found properties left unattended.
• Perimeter patrolling to ensure that the hotel’s exterior walls are not vandalised or damaged, ensures the street lamps are in working condition.
• Raffles Arcade Blocks patrolling for crime prevention, providing assistances or enquires from City guests or members of the public.
• Responds to any emergencies within 3 minutes or less.

Involvement As A Member Of The Security Team

• Provides security escorts for finance department to the bank.
• Witnessing for colleagues depositing sales proceeds at finance department.
• Crowd Control Duty during major events or VVIP visits.
• Prepare to assume the role of the CERT members and First Aider.
