We are seeking a professional and courteous Receptionist to manage our front desk and provide exceptional customer service to our clients and visitors. The ideal candidate will have excellent communication skills, a friendly approach and the ability to multitask efficiently. As our organization's first point of contact, the Receptionist plays a crucial role in creating a positive impression and ensuring smooth operations.
Responsibilities:
Ā· Greet and welcome visitors in a friendly and professional manner.
Ā· Offer and serve tea, coffee, or other drinks to visitors as requested.
Ā· Answer and direct incoming phone calls promptly and efficiently.
Ā· Manage the reception area, ensuring it is clean, organized, and presentable always.
Ā· Maintain office security by following safety procedures and controlling access via the reception desk.
Ā· Handle incoming and outgoing mail and packages, including sorting, distributing, and logging deliveries.
Ā· Schedule appointments and maintain calendars for conference rooms as needed.
Ā· Assist with administrative tasks, such as data entry, filing, photocopying, and scanning documents.
Ā· Monitor and maintain office supplies inventory, placing orders as needed.
Ā· Assist in organizing company events, meetings, and conferences.
Ā· Provide general administrative support to various departments as required.
Ā· Uphold confidentiality and discretion when handling sensitive information.
Requirements:
Ā· Proven work experience as a Receptionist, Front Office Representative, or similar role.
Ā· Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Ā· Excellent verbal and written communication skills.
Ā· Strong organizational and multitasking abilities.
Ā· Professional appearance
Ā· Ability to remain calm and composed under pressure.
Working Hours:
9:30 AM to 6:30 PM, [Monday to Friday]
