We are seeking a proactive and detail-oriented Administrative Assistant to support our operations and help streamline our processes.
Job Summary
The Administrative Assistant will play a key role in ensuring the smooth operation of day-to-day administrative tasks. The ideal candidate is highly organized, adaptable, and skilled in managing multiple responsibilities in a dynamic environment.
Key Responsibilities
1. Administrative Support
• Maintain and organize office files, documents, and correspondence.
• Prepare and manage reports, invoices, and spreadsheets.
• Handle scheduling, calendars, and appointments for management.
2. Operations Assistance
• Monitor inventory levels and coordinate restocking for all retail outlets.
• Assist in liaising with suppliers, vendors, and contractors.
• Support retail and studio teams with administrative requests.
3. Customer & Partner Communication
• Manage incoming calls, emails, and inquiries, and respond professionally.
• Support customer bookings for the tufting studio, including rescheduling or cancellations.
4. Finance & Record Keeping
• Assist with basic bookkeeping tasks such as tracking expenses and generating financial summaries.
• Manage vendor payments and ensure timely submission of invoices.
5. Event & Project Coordination
• Help coordinate special events, workshops, or studio activities.
• Support project management tasks related to relocations, new initiatives, or operational changes.
Requirements
• Qualifications:
• Minimum O-Level & Above or related field preferred.
• Relevant work experience in administrative roles.
• Skills:
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Strong organizational and time management skills.
• Excellent written and verbal communication.
• Basic understanding of bookkeeping or financial record keeping.
