Responsibilities

• Invoice preparation
• Manage the inbound and outbound shipments
• Responding to emails
• Any other activities to support customer with courier shipments

Requirements

• Min. Diploma level
• Basic understanding of logistics
• Able to lift heavy weights of up to 10kg for frozen shipments (up to 50% of the time)
• Adaptive to changes + team player
• Able to work on Saturday and rest on a weekday (8am to 5pm as working hours)

Job Scopes

• Inventory Management: Maintain accurate inventory records and perform regular stock checks.
• Billing and Invoicing: Process and manage invoices, ensuring timely and accurate billing.

The Role

We are seeking an organized and detail-oriented Shipping Coordinator to oversee and manage our shipping operations. The ideal candidate will ensure timely and accurate delivery of goods, maintain efficient communication with carriers and customers, and manage shipping-related documentation to support the company’s logistics and supply chain processes.

What you’ll be doing:

• Oversee and manage all shipping-related paperwork and ensure compliance with regulations.
• Research, compare, and secure cost-effective rates and schedules with forwarders and carriers.
• Coordinate and schedule inbound and outbound shipments for timely delivery.
• Monitor shipment tracking, address delays, and resolve issues proactively.
• Prepare and review shipping documents, including export permits, invoices, bills of lading, and packing lists.
• Maintain accurate shipping records and handle job filing tasks.
• Collaborate with internal and external stakeholders, providing timely and accurate communication via phone and email.
• Support procurement by sourcing new raw materials, products, and technology for operational improvement if required.
• Assist with data entry, generate invoices, and manage other administrative tasks where necessary.
• Build and maintain strong relationships with freight providers and vendors.
• Stay updated on industry regulations and best practices to enhance shipping efficiency.

Job Requirement:

• Minimum 3 years of relevant working experience in shipping or logistics.
• Minimum "O" Level and above.
• Diploma or higher in Logistics/Transportation, Business Administration, Maritime Studies, or a related field is an advantage.
• Proficient in MS Office.
• Strong organizational, multitasking, and problem-solving skills.
• Good negotiation, interpersonal, and communication skills.
• Familiarity with shipping software and tools (e.g., MYOB) is a plus.
• Immediate availability is an added advantage.
