Provide Operations and Admin support to the Property Management Team

Job Duties

• Assist day to day operations and tenant relations through the coordination of tenants requests and administration of maintenance services.
• Verify service providers’ attendance record including cleaning & security service. Impose liquidated damage on poor performance/absenteeism against service provider when necessary.
• Check to ensure work completion to satisfactory, correct payment sum & close tax invoice (together with service report, quotes, PO/POC) in IPS procurement system. Thereafter, circulate it to Property staff, HOD for verification, amendment, endorsement & submit to Finance.
• Monitor MOS job sheets daily. Inform property staff of any job sheets that are not closed. Raise billings to customers on chargeable ad-hoc work. Ensure all records are kept in place for audit check.
• Monitor contract periods of vendors. Assist in inviting quotations for contracts renewal and for ad-hoc works/repairs.
• Answer and route phone calls from tenants and contractors/vendors to the appropriate contact within the Property Management and/or despatch personnel based on immediate needs.
• Provide timely and accurate response to all queries and correspondences from internal and external entities to ensure smooth operations.
• Oversee the car park and access card system as administrator. Provide admin support to season parking payments, aircon extension, maintenance fees and access card, etc
• Verify, program & grant card access to user which is one of the key security management control in the property (if required).
• Check on monthly utility billing to tenants to ensure correct usage & revenue are received promptly.
• Provide admin support in office stationery, pantry supplies, prepare staff attendance and claims.
• Perform any other duties assigned.

• This role shall be the main design coordinator for all Architecture disciplines.
• Efficient and effective architectural design coordination activities for the project to ensure that the design requirements of the contract are fulfilled.
• To Coordinate with Architects, Structural Engineers, M&E Engineers, and Subcontractors to resolve construction problems and issues to ensure timely and smooth progress of works by writing RFI and RFA.

Job Title: Architectural Coordinator (ID8258)
Location: Kaki Bukit, Singapore

Job Description:
-To develop a schedule program for the commencement and completion of all architectural works to tie in with master schedule.
-To coordinate monitor and control Architectural subcontractor’s progress and quality of work.
-To delegate work to the general workers/supervisors and ensure it is in compliance with company/authority standards.
-Liaise with suppliers on items needed for the project and plan the delivery schedule.
-Ensure timely delivery of goods and material to site.
-Submission to consultants for materials, shop drawings and method statement approval before commencement of work.
-Arrange for architectural trade demonstration for consultant’s approval.
-Arrange for testing of architectural materials.
-Liaise with consultants to resolve technical and detailing issues for architectural work.
-Attend project coordination meetings.
-Report to Project Manager the progress of architectural work.
-Assist Project Manager in compilation of handling over documents including as-built drawings.
-Execute control measures on material/plant and equipment/utilities usage.
-Understand specifications, drawings, scope and sequence of work.
-Ability to propose alternative material/work method for architectural work.
-Ability to interpret construction drawings for any discrepancies.

Job Title: Project Coordinator (ID8260)
Location: Kranji, Singapore
Working Hour：Mon-Fri, 8:30am to 6pm

Job Description:

- To submit man day report weekly.
- To furnish PM/S. Supervisor daily updates and site progress reports including progress photos taken at site and submit regular progressive report to management weekly.
- Conduct regular site inspections and follow up actions to ensure safety compliance.
- To conduct regular tool box meetings.
- Responsible for the implementation and monitoring of safety management systems at work site.
- Conduct regular site inspections on sub-contractors ID. To ensure valid permit holder at site.
- Supervise and organise workers' work schedule (plan workers' work before departing to respective job site and ensure appropriate instruction were given to workers at site to carry out their work independently).
- Practise stringent control on site progress to ensure all works are carried out accordingly to work schedule. Alert PM/S. Supervisor should site conditions deviates from work schedule.
- As part of the accountability to assist to arrange and organise sub-contractors/NSC/suppliers job scope at site.
- Seek approval from QS/PM/S. Supervisor pertaining to quotation offered by suppliers/contractors before commencement of work and provide value engineering to work scope materials.
- QC the material or furniture in the factory with Factory Manager before actual site delivery
- Coordinate and resolve on site issue with client, architect, consultant, NSC, DSC on day to day basis.
- Coordinate and check all deliveries to site and ensure it is of correct quantity, condition and as specify.
- Coordinate and manage documentation and handles submission with building management office or relevant authorities(submission of name list, permit to start work, submission of drawings, etc..)
- To verify and certify suppliers/contractors work at site
- Evaluate, review and check all these M&E details design system and coordinate with project manager and consultants in order to ensure the completeness and functionality of M&E services
- Manage the M&E work done in accordance with approved design, material used and workmanship is in compliance with contract specifications.
- To provide auto-cad support as and when required.
- To ensure safety standards and proper housekeeping are being implemented and maintained within job site compound and all workers are abiding to OHsas/ISO standard requirements
- Attend company’s weekly and fortnightly meetings
- To actively participate in ad-hoc projects and other duties when required

- Work from rough sketches and specifications created by engineers and architects
- Specify dimensions, materials, and procedures for new products
- Prepare multiple versions of designs for review by engineers and architects

- Produce draft designs and diagrams according to the given specifications
- Assist and coordinate with designers and engineers.
- Prepare drawings for sheet metal components.
- Prepare drawings and diagrams for electrical devices and installations.
- Collaborate with designers and sub-constructors on the projects.
- Calculate dimensions and allowances with accurate precision
- Compile data and specifications sheets.
- Revise drawings and layouts to accommodate changes and enhancements.
- Accommodate safety procedures and issues in installation and construction drawings
- Company reserves all rights to amend above scope of works when required, upon the mutual agreement of both parties (employer & employee)

• Excellent organizational and time-management skills with the ability to prioritize tasks.
• Exceptional verbal and written communication skills.
• Proficiency in logistics software and MS Office (especially Excel and Word).
• Ability to work effectively in a fast-paced environment and under pressure.
