• Coordinate the delivery and installation of furniture, fixtures, and equipment needed for the office.
• Ensure the office complies with health and safety regulations. This includes fire safety measures, emergency exits, and first aid kits.
• Work with the IT department to set up computer networks, servers, and other technological infrastructure.
• Work with the ACS Team and ensure access control systems, surveillance cameras, and any other security measures to safeguard the office are up and functioning.
• Coordinate with the cleaning team and make sure spaces are clean before client occupancy.
• Implement preventive maintenance plans for HVAC systems, elevators, and other facilities.
• Coordinate/work with the relevant team for the installation of the signage for offices, meeting rooms, and common areas.
• Set up Copy room, Comms Centre, Pantry areas, and any other employee amenities.
• Ensure bathrooms are fully functional and well-stocked.
• Conduct tests on fire alarms, emergency lighting, and other safety systems.
• Perform a walkthrough to identify and address any issues before client occupancy.
• Communicate the move-in plan to employees and provide them with necessary information.
• Establish a point of contact for any facility-related concerns.
• Be available for post-move support to address any issues that may arise after clients have occupied the space.
• Gather feedback from employees and clients to identify areas for improvement and future planning.

Main Tasks

· Managed and maintained tank containers to meet optimum quality and safety requirements.

· Timely repairs and maintenance are performed in compliance with the procedures maintained by NewPort.

· Efficient and effective depots as well as optimal use of the tank container fleet.

· Complete, correct, processed administrative data without irregularities, ensuring a high quality of data in the NewPort computer system.

A)Technical maintenance of new and existing material

· Identify technical developments and problems to material.

· Provide technical support on incidents.

· Make an inventory of the repairs of equipment, control, modify and coordinate repairs and input of all relevant information into the NewPort Computer System.

· Ensure tank containers are maintained to the agreed quality standards, specifications

· React, alert and take actions on flaws and failures.

· Monitor and control the technical work and functions of the depots.

· Provide input for investment requests.

· Monitor and ensure that all test certificates after maintenance or repairs are available.

· Monitor safety and cleanliness of equipment and take actions for safety issues.

· Ensure that policies and procedures are followed.

B)Manage Depots

· Manage outsourced depots and cleaning stations falling under NewPort’s responsibility.

· Instruct and monitor assignments for minor repairs.

· Ensure that the appropriate test certificates are available.

· Register residual loads and additional cleaning fees.

· Report findings to the Team Leader.

· Oversee depot improvement audits.

C)Administration

· Collect data to monitor the progress in line with the defined goals, advise on irregularities in compliance and check agreed the prices from the suppliers.

· Identify differences in interpretation of administrative data and irregularities in data and take appropriate action.

· Perform work outside the indicated result area as and when deemed necessary by NewPort management.

What your day-to-day will look like:

Presentation Deck Creation

• Create presentation decks for clients, including Potential Options and Location Mapping.
• Extract and present track record information to support client presentations.
• Develop competitor mapping slides to provide valuable insights.

Matterport Coordination

• Act as the main coordinator between brokers, vendors, and landlords to schedule Matterport scans.
• Utilize the Matterport eForm for streamlining communication and documentation.
• Manage and update the list of Matterport scan links to ensure accuracy and accessibility.
• Share Matterport scan links with the Online Listing Administration (OLA) team upon request.
• Edit new Matterport scans as needed before sharing them with landlords.
• Verify monthly invoices before forwarding them to the payment processing team.

Database Maintenance and Streamline Work Processes

• Develop and maintain a master list of property buildings, which serves as a time-saving resource for creating option decks.
• Create and manage a tracking folder and excel list to monitor and save monthly vacancy listings.
• Design various co-working deck formats, stacking plan formats, and PowerPoint slides to present information more effectively.
• Create data analysis reports of past years' transactions using pie and bar charts as requested by the AMT (Account Management Team).

MarketLink Data Administration

• Possess comprehensive knowledge of the MarketLink tool and provide assistance to brokers and new users when needed.
• Update availabilities, stacking plans, building information, and occupancy rates in the MarketLink system.

• Update the Landlord CRM File regularly.
• Maintain a track record of business wins.
• Assist in booking meeting rooms.
• Create and maintain a Negotiation Tracker to support the team's negotiation efforts.
