Leadership Role
As the Senior Manager, you will be responsible for the day-to-day management of the Secretariat Office, ensuring operational excellence and alignment with the Association's mission and strategic objectives. Reporting to the Honorary Secretary, you will oversee various administrative, operational, and governance functions, facilitating smooth governance processes, membership engagement, corporate communications, and HR activities. Your leadership will contribute significantly to the efficiency, transparency, and growth of the Association.
Responsibilities
1. Secretariat Administration and Governance Support
As your key stakeholder, you will provide support to the EXCO to ensure the Association’s compliance with statutory and regulatory requirements, overseeing the preparation and coordination of EXCO meetings such as the creation of agendas, meeting minutes, annual filings and reports.
2. Finance
Providing oversight to the financial process and timelines, you will support EXCO and specifically the Treasurer in coordinating the annual budgeting process, including monitoring budget allocations for informed decision-making.
3. Special Projects, Event Planning and Coordination
You will lead special projects to review and improve processes, operational efficiency, and SOPs, ensuring alignment with industry best practices (ISO and Service Quality Awards). You will oversee the planning and execution of key association events (conferences, symposiums, workshops and seminars) to maximise member participation and foster community engagement. You will work closely with the programme executive on promotional activities vendor management, venue bookings, and speaker coordination to ensure smooth and successful events.
4. Membership and Stakeholder Engagement
Providing oversight and ensuring compliance, you will work with the Assistant Manager to ensure the membership database is accurate and ensure membership records, renewals, and member benefits are executed in a timely manner. You will also develop and implement strategies to engage members, increase participation in Association activities, and address member concerns.
5. Corporate Communications and Digital Strategy
You will lead corporate communications, including newsletters, reports, and social media, to promote transparency, member engagement, and visibility. You will develop digital strategies to enhance branding and reputation across platforms, ensuring alignment with the Association’s mission internally and externally.
6. Human Resources
You will manage a staff team, overseeing recruitment, staff development and performance management. You will ensure the Secretariat Office functions effectively, with clear roles and responsibilities, and a focus on professional development and retention.
Job Requirements
- Bachelor’s degree in business administration or equivalent.
- Managerial experience, including reporting to senior directors.
- Able to manage budgets and report KPIs to senior management.
- Experience in project management and stakeholder engagement within a membership-based organisation (preferably in the non-profit or social service sector).
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and familiar with digital tools such as Canva, social media platforms, and basic website editing.
- Able to lead and manage staff, foster teamwork, and work effectively under pressure.
- Willing to work flexible hours, including evenings and Saturdays, as needed.
