• Manage daily patient's discharge and preparation of their bills including weekends and public holidays (on rotational basis).

• Work with PSC and BO staff to manage sending the final bill with interim LOG to the insurer including the discharge summary within a week from date of discharge.
• To assist insurers/medical concierge on requests for reports, summary/detailed bills, discharge summary, etc to facilitate them to process the bills.
• Final LOG will be provided by insurers/medical concierge and to forward it to BO AR team to send final bill to insurers for payment.
• Assist in reviewing workflows and processes on a regular basis.
• Undertake any other duties as assigned by supervisor and/or management.

Roles & Responsibilities

• Co-ordinate daily calendars, schedule and prioritizing appointments and meetings for PMO, including but not limited to taking minutes of meeting and action items.
• Plan and organize all PMO internal and external meetings (e.g. conference calls, booking of meeting rooms, refreshment and equipment).
• Manage division and department heads calendar
• Own and manage PMO SharePoint by maintaining proper filing, correspondence, and records.
• Co-ordinate with cross-functions (e.g. HR, Finance, HSE, Procurement) for internal communications or new system roll out.
• Assist procurement team on vendor sourcing and purchase requisition.
• Manage PMO travel arrangements, including travel itinerary preparation, visa application, airline tickets and accommodation bookings, airport transfer and/or car rental for business trips, seminars, or trainings.
• Prepare and process all expense claims accurately and timely submission for PMO division head and HODs (e.g. medical claims, offsite meeting, business travel and entertainment expenses).
• Inventory management of supplies for PMO and project sites (e.g. PPE, office stationery, copier papers, print cartridges, pantry supplies).
• Manage and supervise on PMO office maintenance, repairs, or replacement such as office equipment and appliances.
• Manage and co-ordinate with training centres / seminars for PMO staff enrolment.
• Manage and co-ordinate on visitors / vendors / contractors entry permits application to Jurong Island and security clearance to affiliated plants.
• Assist in PMO on team building events and new staff onboarding.

Qualifications & Experience

• Diploma with minimum 8 years’ experience as an Office Administrator or Office Manager.

Middle Office Senior Associate

Key Functions:

1. Handle telephone enquiries and front desk duties.
2. Coordinate with security team on vehicles, vendors, occupants, contractors or visitors entering the premises.

6. Administer resorts’ inventories and office stationery purchases.
7. Assist on issues surfaced up by the housekeeping/security team/occupants in the absence of the Resorts Ops Manager.
8. Assist occupants with basic troubleshooting such as issues with equipment examples refrigerator, air-condition or TV sets.

Other responsibilities:

1. Function as the Point of Contact (POC) for the followings:
a. With Linen Laundry Service Vendor - Coordinate with Linen Laundry Service Vendor on the dispatch and collection of dirty linens.

2. Logistics & Inventories
a. Handles linen inventory and purchasing if stock is low
b. Co-ordinate with housekeeping team for the accounting and preparation (example defect detection) of the linens for the villas.
c. Administer villa inventory list amendments (4, 3 and 2-bedroom villas):

• Report of shortfall/additions of inventories
• Facilitate on boarding of physical inventory lists (both normal stores and linens) to online inventory tracking list and accounting of items issued to housekeeping staff or occupants directly.
