• Receive and respond to customer sales inquiries via email and company work phone from Website including webshop, Google/FB/Instagram/LinkedIn/blogs, WhatsApp, SMS, staff referrals, etc
• Tally, Track, Manage, Communicate and Coordinate between customers and inspectors for mould inspection bookings, amendments, res-cheduling as well as cancellations using Google Calendars, Tracking Sheet, Filemaker, ICAB
• Manage webshop sales & inquiries including coordination for self collection and deliveries working closely with warehouse and delivery coordination
• Prepare invoice using internal system and manage pipeline tracker
• Provide support and coordination to Hygiene business sales team

• GCE “O” Level, Diploma in any discipline or higher with relevant hands-on experience in similar environment

RESPONSIBILITIES

• Manage Presidents calendar for all meetings, internal and external.
• Coordinate drivers daily schedule to support President.
• Arrange Presidents travel needs:
  • Pre-trip requests
  • Ticketing
  • Programme
  • Post-trip claims
• Perform E-approvals on behalf of President for Leave requests, travel requests and staff reimbursement claims from Presidents direct reports.
• Assist the President in reviewing POs and bank transfers as requested by Office of Finance.
• Assist with all correspondences and messages to the SMU internal community originating from Presidents Office.
• Process Presidents expenses, medical and FlexBen claims and leave application.
• Serve as point of contact for external meetings.

• A university degree or equivalent but in the absence of a degree, a diploma and/or a professional executive secretary qualification, coupled with at least 15 years of relevant work experience in a similar capacity, would be required.
• Candidates with experience in working with C-level executives would have an advantage.

Job Scope

• Actively assist in developing and executing 4S’ integrated marcomms strategies and associated work plans aimed at advocating for the destitute and seniors’ needs and well-being; engaging and growing the 4S community
• Work closely with various teams to understand and address their needs through effective marcomms across channels (e.g. websites, social media, newsletter)
• Champion the growth and stewardship of the 4S brand and online channels through the formulation and execution of a cohesive online and offline marcomms plan
• Provide active support in ideation, roll-out, optimisation, and reporting of marcomms campaigns, including fundraising and volunteer recruitment initiatives
• Engage with or interview relevant stakeholders, whether internal (e.g. team members) or external (e.g. beneficiaries, donors, volunteers)
• Undertake and analyse market research to gather insights and best practices that can inform our strategies

Requirements:

• 1-2 years working experience in any of the following functions: digital/ social media marketing, public relations/ communications, journalism
• Strong verbal and written communication skills
• Good interpersonal skills and a natural flair for connecting with people
• Able to multi-task and work well with a diverse group of professionals from the public and private sectors as well as volunteers, donors and beneficiaries
• Relevant experience in the social service sector is a bonus
• Familiarity with tools such as Canva and Adobe Creative Suite (Illustrator, Photoshop, Premiere Pro) will be a plus
