Target Operating Model

• Work with key stakeholders to design an agile operating model that is fit for purpose and appropriate (lean, yet compliant) for a start up business in the Health Technology industry. Roles & Responsibilities

• Ensuring restaurant Excecutive are hiring and retaining team members to help improve productivity and quality of the guest experience
• Business Management-Support the General Manager in managing food and labor costs to increase Restaurant profitability
• Manage the requirements for health and safety training across all outlets and ensure that all outlets are fully up to date on municipality requirements
• Drive performance and sales levels improvements for all restaurants
• Implement practices and procedures and consistently review operational standards with the aim of always improving speed and service quality
• Schedule staff hours and assign tasks for service
• Ensuring that the strictest standards of sanitation, food safety and cleanliness are practiced in every restaurant, by ever team member on a daily basis

Due to the company's plan to increase its presence and expand its business, we are looking for a responsible and committed Sales Operations.

You will be based in Singapore, and will be responsible for coordinating information (as in enquiries, questions or issues) between the customers and the relevant internal stake holders and also for coordinating information (as in pricing and product availability) between the company and suppliers/partners. Your role’s main focus is to maintain the effectiveness of our communications to ensure that the sales of the company is maintained by responding in a timely and accurate manner to customers and suppliers alike. Your first task is to familiarize yourself with and achieve a complete grasp of the primary business process in order to perform your duties and also to be ready to support any function of the primary business process (particularly for the Building Services business unit). In addition, you will perform any secondary functions that the Senior Executive, Business Administration might assign you to. You are part of the Operations Team and will report to the Senior Executive, Business Administration.

What will you do?

• You are to support the Business Development and Sales Department particularly the Building Services business unit to generate more sales to increase the company profit.
• You are to prepare documents such as quotations, meeting minutes, project lists and sales reports for the Building Services business unit.
• You will proactively generate sales leads for the Building Services business unit (LinkedIn, BCI, etc.)
• You are to conduct market surveys and identify opportunities and trends in the market.
• You will also coordinate and negotiate to get the best price for the procurement of products with the suppliers.
• You shall ensure that payments from customers will be made on time.
• You shall also support any function of the primary business process when needed.
• You will provide support for any task(s) that the Senior Executive, Business Administration assigns to you.
• You will also conduct sourcing when customers are requesting for products that we do not normally stock.
• Effectively communicate all information that you have obtained or created to your direct report and the management.

About the Role
They seek a proactive and detail-oriented Operations Supervisor to manage and optimise their operations processes. This individual will oversee key functions such as inventory management, order processing, shipping, and reporting. In addition, the Operations Supervisor will take a lead role in identifying, evaluating, and implementing software systems that can streamline operations, particularly inventory management.

This role requires someone comfortable working with data, able to coordinate day-to-day operations, and can lead efforts to adopt new technologies for better efficiency. The ideal candidate will have experience in operations, strong organisational skills, and a problem-solving mindset.

Key Responsibilities

Operations Management:

• Oversee daily operational activities, including shipping, order processing, and delivery coordination.
• Ensure timely and accurate fulfilment of orders while maintaining high customer satisfaction.
• Manage day-to-day logistics and resolve any operational challenges.
• Collaborate with other departments (e.g., Sales, Customer Service) to ensure smooth operations.

Accounts & Inventory Management:

• Maintain accurate records of inventory levels, ensuring stock is managed efficiently.
• Develop and implement processes to track inventory movements, minimise stockouts, and reduce excess inventory.
• Regularly conduct physical inventory counts and reconcile them with system data.
• Lead efforts to improve inventory accuracy and reporting processes.
• Manage and track receivables and payables
• Perform cashier duties and process transactions
• File and maintain invoices
• Ensure the Point of Sale (POS) system is accurately updated with inventory levels
• Recording/tracking receivables and payables
• Cashier, filing of invoices, Ensure POS is updated with correct inventory

Systems Management & Improvement:

• Currently, operations are managed using Excel; responsible for researching, recommending, and implementing new inventory management software or systems to improve operational efficiency.
• Oversee the transition and integration of new systems, ensuring smooth adoption across the team.
• Ensure systems are utilised effectively and efficiently to track inventory, sales data, and other operational metrics.

Data Management & Reporting:

• Track, analyse, and report on key operational metrics, including sales, inventory turnover, order accuracy, and delivery performance.
• Create regular reports on sales trends, inventory levels, and operational performance for senior management.
• Develop and maintain reporting templates to support decision-making and improve operations.
• Ensure customer data is accurately captured.

Qualifications:

• Two years of experience in operations management, logistics, or a related field.
• Strong knowledge of Excel for data tracking, reporting, and analysis (advanced Excel skills required).
• Experience with inventory management and understanding of best practices.
• Strong organisational and time-management skills, with the ability to prioritise and manage multiple tasks.
• Ability to analyse data and make decisions based on metrics.
• Familiarity with inventory management software or other ERP systems is a plus.
• Excellent communication and interpersonal skills.
• Problem-solving mindset with a focus on continuous improvement.
