Objectives of the position:

The Purchasing Planning Executive must be a data-driven, strong analytical skills and creative team player who can provide critical solution effectively in order to fulfil high levels of customer satisfaction in current dynamic supply chain network.

As one of the key player in APAC Control Tower Purchasing Planning team, the individual will be expected to implement the demand planning strategies for accurate forecast and inventory optimization to achieve the goals of department and group.

Key Responsibilities:

1. Inventory Management - Plan and update the appropriate system parameters promptly according to monthly consumption, optimize stock level to meet inventory objectives.

2. Order Management - Facilitate Purchase Orders and ensure the information update in SAP. Follows up on orders ensuring that materials are shipped and delivered on promised dates.

3. Coordinates on all aspects with stakeholders on inbound shipment, update in SAP promptly and accurately, filing shipping documents for goods receiving activities, verifications of invoices to avoid mis-match

4. Cross trade shipment management - Facilitate and coordinate with stakeholder for direct drop shipment from factory to customer, with application and compliance of Free Trade Agreement for customer import duty rebates

5. Claim Management - Process claims where defects are related to the Vendor

6. Material Master Management - To maintain and ensure Material Master in SAP up to date (Standard length, HS code, plan delivery time...)

7. Ensure the operation quality and efficiency to meet customer requirements while complying with the company policies

8. Any other ad-hoc duty or projects as assigned by Manager

Skills & Qualification:

• Minimum Certificate in Supply Chain/Purchasing/Materials/Logistics management

• More than 1 years’ experience in supply chain operations

• Knowledge of SAP system preferred

• Proficient in MS Office, particularly in MS Excel or Excel Advance applications

Job Descriptions:

• Capture all sales invoices and process cash receipts from customers in QuickBooks.
• Send monthly Statement of Accounts to customers after month-end close.
• Ensure all supplier invoices are coded & matched to Purchase Orders after goods receiving (where appropriate), and record supplier invoices in QuickBooks.

Job Description

Purchasing

• Check and process Purchase Order (PO) based on sales order.

• Track orders and ensure timely delivery of goods, receiving, and invoicing.

• Checking supplier’s invoices with supporting documents such as PO & Delivery Orders (DO).

• Assist and support to spear head on all cost saving, reduction program and activities.

• Liaise and negotiate with vendors on required products/ services for the best price and payment terms.

Inventory

• Work closely with warehouse team on maintaining the stock list – identify the stocks and SB items

• Lead the preparation on stock take exercise and prepare the necessary steps before conducting stock take.

Pricing and Promotions
• Follow the price calculation, and update brand retail selling price based on price list.

Collections:

• Responsible for monthly collections of a specified amount. Handle client requests, send weekly reminders, and follow up on overdue accounts every 14 day until payment is received.

Billings:

• Generate bills through the portal and track to ensure monthly targets are met.

Budgets:

Opportunities Pipelines:

Timesheets:

Client Tax Progress Control (TPC)/Tax Status Report:

• Monitor staff work progress on all client matters.
• Generate weekly status reports to ensure financial accounts are received and updated, commence work, and start the fee quote process to bill clients timely.
• Allocate managers' portfolios in terms of budgets and assist in staff portfolio budget calculations.
• Update ceased client/waiver lists and maintain the clients' database.

General Admin:

• Update tax library books' listings as needed.
• Sort IRAS letters, scan, and disseminate to the engagement team.

Requirements:

• Diploma in Business Studies, Business Management, Business Finance, Accountancy, or a relevant discipline.
