RESPONSIBILITIES

Office Management

• Oversee the general office operations on a day-to-day basis to ensure organizational effectiveness, efficiency and safety.
• Liaise with Facilities on all office-related activities
• Oversee Corporate Amex card issuance for new hire and reconciliation
• Accounting - Managing the approval and tracking of all invoices related to Office expenditure
• Ordering of Business Card and ensure timely delivery
• Meeting coordination for non-investment staff
• Assist in event planning in local office
• Office growth and relocation support
• Ad Hoc support to manage executive’s schedules, calendars, and travel, if needed
• Partner with HR to maintain office policies as necessary
• Partner with Investment Coordinators to ensure smooth day-to-day office operations

Vendor Management

• Liaise with vendors and help with vendor selection as needed
• Assist with organization and tracking accounts payable invoices
• Manage relationship with vendors and service providers, ensuring that all items are
• invoiced and paid on time
• Manage contract and price negotiations with office vendors and service providers
• Managing lunch platforms

Facility Management

• Ordering pantry and office supplies
• Subscription Management

Others

• Manage the front desk day-to-day, meeting room schedules and office
• Ad hoc Projects

QUALIFICATIONS & REQUIREMENTS

• Ability to prioritize and manage multiple tasks and projects concurrently to meet/exceed deadline

• Strong written and verbal communication skills
• Minimum 5 years of relevant experience working as office admin/support/management role within the financial service industry
• Relevant experience in liaising with external vendors and vendor management is required
• Bachelor’s degree preferred

In the role of Investment Coordinator, the employee will be responsible for the following:

Provide day-to-day support for PM and analyst teams: Manage calendar, travel, expenses, and any miscellaneous asks, including but not limited to:

• Visa processing for work travel
• Medical / healthcare claim forms
• Relocation arrangements and expenditures
• Maintain critical reporting systems within Broker Relations Group
• Accurate and timely expense processing
• Bespoke reporting and calendar updates for PM and Teams
• Daily and weekly review of Teams’ calendars to ensure they are abreast of meetings for the day ahead; address any conflicts or prioritization that is needed
• Complete ad hoc requests for Broker Relations team, including broker subscriptions and resourcing
• Work with Compliance to ensure adherence to policy, meeting clearance, and obtain approvals, vetting of industry expert meetings, any non-C-level management events, private company meetings
• Tagging post-meeting notes for Compliance in Idea Tracker
• Execute on all Corporate Access & Sell Side Meeting Arrangements
• Track and highlight all upcoming non-deal roadshows, conference meetings, events, analyst days, and earnings calls
• Schedule corporate access, sell side analyst meetings, and expert calls
• Daily data entry and maintenance to keep Event Tracker database accurate
• Schedule management calls for PM teams utilizing BAM systems to invite all relevant parties
• Request conference meetings; confirm schedules with Broker Relations team
• Gathering and printing of models, transcriptions, and company presentations

In order to effectively represent the Company and communicate with clients, a BAM Investment Coordinator should possess the following attributes:

Broad Based Compensation

Participate in group-level projects across various areas of rewards, including:

• Performance Management: Support the development and enhancement of performance evaluation processes that align with compensation.
• Allowances: Review and optimize allowances to ensure fairness and competitiveness.
• Annual Remuneration Cycle: Assist in the execution of the annual remuneration cycle, including salary reviews and adjustments.
• Market Salary Benchmarking: Conduct comprehensive market research to ensure our compensation structures remain competitive and equitable.

Executive Compensation

• Support the annual calendar of Executive Resource and Compensation Committee (ERCC) activities covering remuneration matters for Senior Management Executives and Non-Executive Directors to the Board
• Assist in the design and implementation of executive compensation programmes, including base salary, bonuses and long-term incentives for senior management.
• Conduct market research and benchmarking to ensure executive compensation packages are competitive and aligned with industry standards.

Rewards Systems & Processes

• Gain hands-on experience with compensation management systems, including their functionality and capabilities.
• Evaluate existing compensation systems, identifying opportunities for enhancements to drive operational efficiency and improve user experience.
• Collaborate with IT and other stakeholders to implement system improvements and ensure seamless integration with HR processes.
