2. Scheduling and Coordination: Assist in scheduling meetings, coordinating construction timelines, and managing the calendars of site supervisors or project managers. This may include coordinating with subcontractors and suppliers.
3. Payroll and Timekeeping: Track and record employee hours, submit timesheets, and handle payroll processing. Ensure workers are compensated accurately and on time.
4. Procurement and Inventory Management: Order materials and supplies for the construction site as needed, monitor inventory levels, and coordinate deliveries to ensure work is not delayed.
5. Compliance and Permitting: Assist with acquiring necessary permits and licenses, keep records of certifications, and ensure compliance with local and state regulations.
6. Health and Safety Documentation: Maintain records related to safety protocols, incident reports, and training logs. Help enforce safety policies by keeping records readily available for inspections or audits.
7. Communication and Correspondence: Serve as the communication link between site staff, contractors, suppliers, and the main office. Respond to emails, answer phone calls, and distribute messages or updates to relevant personnel.
8. Visitor and Access Management: Handle visitor registrations and manage access to restricted areas. Ensure all visitors adhere to safety policies and have proper PPE when on-site.

Admin Officer

Assist in handling and maintaining proper records of feedback or complaints received from the residents.

Assist the CM to attend Section 47(1)(c) notice and update strata roll upon receipt of notice of transfer

Assist the Condominium Manager in petty cash management and collection of payment by residents on daily basis, including daily account closing.

Update trust accounts periodically of all transactions for the contributions, facilities' charges and deposits for receipts issuance to residents.

Manage the booking of estate facilities such as BBQ pits, tennis courts, function room etc. according to House Rules, By Laws and Standard Operating Procedures.

Establish and maintain proper filling systemt to ensure smooth documentation and adminstration of the estate.

Carry out regular of the content of the notice board(s).

Maintain inventory of office stationery and equipment maintenace record and perform general adminstrative duties.

Co-ordinate council meetings and annual general meetings as instructed by the Condominium Manager.

Any other duties assigned by supervisor / manager.
