About The Role

This position is part of the Student Services (SS) department within Office of Academic Services (AS) serving as the first point of contact for students and alumni and enhancing the overall student services of the University. SS manages the SS hotline, counter, written correspondences, and administration of Electronic Course Evaluation (eCE) surveys to foster a student centric service environment.

The candidate will support SS day-to-day operations, manage the SS Quality and Training related initiatives, assist with survey administration, and contribute towards the overall enhancement of SS service ecosystem.

Job Description

Operations (30%)

• Monitor and supervise day-to-day student services operations, manage students’ enquiries, requests, and feedback across all touch points that are received through channels such as phone, email, and walk-in.
• Manage a team of 2-3 officers and/or senior officers, providing guidance to team members on handling student feedback, especially for challenging and complex situations.
• Identify issues/opportunities for improvement, highlight follow-up and participate in deployment of process improvements or enhancements.
• Collaborate with internal stakeholders (schools and other admin departments) to assess/investigate complex cases, appeals or exceptional requests from students and provide a satisfactory resolution within a stipulated/reasonable timeline.

Quality Assurance & Training (30%)

• Performs quality transactional monitoring.
• Compile and track performance at team and individual level.
• Support and maintain SS knowledge base (KB), FAQs and templates.

• Build, manage, and automatically distribute course evaluation reports to stakeholders.
• Perform administrator duties to maintain the new platform and manage the access rights of various users onboard the eCE platform.
• Any other ad-hoc matters related to course evaluations administration.

Strategic (10%)

• Support projects, system enhancements and process implementation for systems/applications used by SS department.

Job Requirements

• At least 2 years of supervisory experience in customer service, preferably in a contact centre environment.
• Professional Qualifications in Contact Centre, Quality Assurance and Training (e.g., COPC, ACTA, etc.) will be an added advantage.

The candidate will support SS day-to-day operations, student insurance management, point of contact for orientation booth organisation/corporate website content updates, and contribute towards the overall enhancement of SS service ecosystem.

What You Will Be Doing

Operations (40%)

• Monitor and supervise day-to-day student services operations, manage students’ enquiries, requests, and feedback across all touch points that are received through channels such as phone, email, and walk-in.
• Manage a team of 2-3 officers and/or senior officers, providing guidance to team members on handling student feedback, especially for challenging and complex situations.
• Identify issues/opportunities for improvement, highlight follow-up and participate in deployment of process improvements or enhancements.
• Collaborate with internal stakeholders (schools and other admin departments) to assess/investigate complex cases, appeals or exceptional requests from students and provide a satisfactory resolution within a stipulated/reasonable timeline.

Student Services orientation booth setup (10%)

• Collaborate with internal departments to organize Student Services orientation booth setup, ensuring an informative display and slides featuring essential information to navigate the student portal effectively.

Student Services Website update (10%)

• Point of contact with marketing and communication department to ensure timely updating of information on the Student Services page of the website.

Student Insurance Management (10%)

• Manage Student Insurance Broker contract, ensuring that the vendor is compliant with regulations and meets the university's insurance needs.
• Effectively handle escalated insurance issues/complaints with stakeholders.
• Work with stakeholders to review the insurance coverage and terms as appropriate.

Other administrative tasks (10%)

• Assists with raising purchase requisitions, budgeting, news & notices postings.

Strategic (20%)

• Support projects, system enhancements and process implementation for systems/applications used by SS department.

Job Requirements

• At least 2 years of supervisory experience in customer service, preferably in a contact centre environment.
• Possess a good bachelor’s degree (preferably); but can be compensated with extensive experience in related field.
• Good written and communication skills, with the ability to influence and motivate colleagues on their improvement areas.
• Strong customer service mindset with good communication and problem-solving skills.
• Ability to rapidly assimilate complex information and make expert judgments/decisions under pressure in complex situations.
• High level of accuracy and attention to detail
• Personal resilience and ability to perform effectively in a pressurized environment with a positive “can do” and “willing to learn” attitude.
• Able to work extended hours (up till 9.30pm) during university peak period.

We are looking for a Senior Executive, Infrastructure and Network to join the team.

As an Executive for infrastructure and network, you will respond to requests for technical assistance in person whenever necessary. You will also be expected to facilitate end user training to ensure proper usage of IT equipment.

Responsibilities:

· Respond to requests for technical assistance in person, phone, email, onsite support or remote access.

· Installing, configuring, testing and maintaining network-related operating systems, applications, software and management tools.

· Identify and escalate situations requiring urgent attention.

· Track and route problems, requests and document solutions along with logging all help desk interaction after every issue if necessary.

· Trouble shooting, diagnosing and resolving hardware, software and other network system problems.

· Assist with the management and maintenance of the network infrastructure, such as switches and Wi-Fi access points.

· Assist in creating network and email accounts for new users in the company.

· In charge of setting up computers for new users and guarantees fast delivery of tools to users in various locations if needed.

· Conduct IT audit and certification process.

· Assist in drafting IT security and governance SOPs.

· Facilitate end-user training to ensure the correct usage of IT equipment for users.

· Any other projects that are assigned by the manager.

Job Requirements:

· Higher Nitec or Diploma in IT, Engineering or of a similar discipline.

· At least 3 years of experience in a service desk or helpdesk environment.

ACCOUNTABILITES

• Regulatory Compliance and Reporting: Support the implementation of regulatory standards and controls within Student Records (SR) processes; compile reports/documents necessary to support all regulatory reporting/audits.
• Centralised Services: Plan, execute activities necessary for the team to provide centralized services. These include Student’s Pass (STP) processing, TransitLink PEI-Student concession card for eligible students, verification of qualification and processing of Personal Data Protection-related queries.
• Audits: Prepare and ensure readiness of documentations to support all internal and external audits on SR department.
• Student Records Management: Maintain student-related records, including document keeping, in accordance to established SR processes.
• Student Records Policies and Procedures: Provide and compile inputs to the review of SR policies and procedures to meet operational/annual review requirements.
• Continuous Improvement and Innovation: Recommend and implement improvements to SR processes to address new business requirements/user experience and in achieving operational efficiency.
• Budgeting: Monitor and manage the annual budget of SR department for budget items assigned by Supervisor and/or Managerial Leader.
