Roles & Responsibilities:

Administrative Support Tasks

Scheduling

• Schedule maintenance and repair appointments events and work closely with the head technician & Barista on the schedule
• Coordinate with service providers and customers to ensure timely service.
• Track and manage repair requests and service calls.
• Work closely with the sales team on the equipment installation and coffee tasting schedule.

Customer Service

• Respond to inquiries and complaints related to coffee equipment.
• Respond to the equipment & POSM ordering and delivery for clients or internal
• sales team requests.
• Address any recurring issues to improve customer satisfaction.
• Reporting
• Generate reports on equipment performance, common issues, and service trends. If necessary
• Work closely with the sales department for coffee equipment and servicing contract purposes.

Administrative Tasks

• Handle invoicing and billing for repair services and parts.
• Provide quotations for and follow up on orders.
• Manage contracts with service providers and suppliers.
• Coordinate with other departments (e.g., sales, finance, technicians, procurement, IT) as needed.
• Maintain detailed records of service requests, repairs, and maintenance.

Customer Relationship Management

• Develop and maintain strong relationships with customers and clients.
• Address any recurring issues to improve customer satisfaction.

• Handling technical admin phone to assist Sales & Client requests.
• Provide solutions to common problems via phone, email, or person.

Equipment Installation

• Work closely with the sales team on the installation schedule request.
• Oversee and schedule on coffee machines installation with the head of

• Ensure all the documents and contracts are done before the installation.

Equipment and Asset Management

• Asset Tracking and Inventory Management

• Order and manage inventory of spare parts and supplies.
• Maintain records of parts used and replaced.
• Liaise with suppliers, procurement, and finance on spare parts and related orders.

Job Requirements:

• High school diploma or equivalent; an associate degree in Business
• Administration, Hospitality Management, or a related field is a plus.
• 1–3 years of experience in administrative support, ideally in the food service or hospitality industry, with F&B equipment knowledge.
• Basic understanding of IT systems and software, proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and experience with project management software are a plus.
• Strong organizational and time-management abilities, with attention to detail and accuracy.
• Excellent written and verbal communication skills to interact effectively with internal teams and external vendors.
• Ability to troubleshoot minor technical issues and think critically to manage competing priorities.
• Strong interpersonal skills with the ability to work collaboratively in a team environment

Responsibilities:

• Answering customer inquiries, scheduling meetings, and sales appointments, and following up with customers about their order status.
• Compiling a daily list of sales leads, delegating leads to the sales department, and providing sales data and guides to the sales department.
• Developing and monitoring performance indicators for sales and staff members, managing sales tracking tools, and compiling reports.
• Creating and processing orders in a timely manner, sales quotation, processing requests for urgent orders, and reviewing pending orders and customer requests to ensure customer satisfaction.

JOB DESCRIPTION

• Plan, coordinate and handle end-to-end payroll processes to ensure that payroll cycles, posting, and costing are processed timely
• Prepare and reconcile payroll summary and variance reports to ensure accuracy of the payroll results
• Responsible to review and audit extracted files to ensure data is accurately captured in the payroll system and coordinate with HR and HRIS teams to resolve and prevent discrepancies
• Provide support to International Mobility team for preparation of International Assignee’s’ hypo-tax computations and deductions
• Ensure all leaving employees have their final payment administered ie. leave encashment, withholding for tax, tax clearance and processing tax liability payment
• Manage the employee income tax filing process and ensure that employee income details are filed with IRAS
• Manage statutory government claims submissions – e.g. NSmen pay, maternity leave, paternity leave, childcare leave, etc.
• Perform internal staff cost recharging and accruals
• Support UAT testing and endorse Incidents and Change requests
• Manage payroll-related queries from internal and external auditors and tax authorities
• Produce payroll reports for Payroll Manager, HR and Finance Division when needed
• Create, develop, and maintain payroll process documentation
• Perform internal staff cost recharging and accruals
• Participate in ongoing or ad-hoc projects

JOB REQUIREMENTS

• At least 2 years’ of experience in Singapore payroll
• Good knowledge in HRIS and payroll software such as Workday and SAP
