A Senior Purchasing Officer / Assistant Purchasing Manager with Conrad Hotels & Resorts assists in ensuring that all Food & Beverage purchases meet the requirements of the Hotel in terms of availability, quantity, quality and price.

What will I be doing?

As a Senior Purchasing Officer / Assistant Purchasing Manager, you ensure proper and effective communication channels are in place so that the Purchasing Department can accurately stock goods and other equipment for the hotel. You will assist the Purchasing Department in its efforts to manage the purchase of all Food & Beverage goods and equipment that the hotel requires. Specifically, a Senior Purchasing Officer / Assistant Purchasing Manager will perform the following tasks to the highest standards:

• Assist the Cluster Director of Purchasing in purchasing the right goods and materials at the right price, at the required quality, and in the right volume to ensure a cost-effective approach to purchasing within the hotel.
• Work with internal and external customers to ensure smooth lines of communication so that all requirements are met effectively.
• Prepare orders in line with business requirements.
• Work closely with the Department Heads to ensure effective stock control.
• Work closely with the Chefs, Director of Food & Beverage and other operations department to purchase the highest quality products while constantly searching for most competitive price.
• Handle daily routine purchasing functions and ensure that goods and services are ordered as specified and that they are procured at the right price, quality and made available or delivered to the hotel at the specified delivery dates.
• Assist in the expeditious processing of market lists including beverage orders and purchase requisitions received from the Food & Beverage departments and in obtaining pricing and quotes from suppliers/vendors.
• Assist in negotiating with representatives of suppliers/vendors for key items of product lines and determine that quality and prices of merchandises are competitive, in consultation with the Cluster Director of Purchasing.
• Maintain and Issuance of beverage stock including month end inventory
• Assist in providing high level of system assistance to each department and work closely with the Department Heads in surveying the market for quality and best prices. Keep the Cluster Director of Purchasing updated with developments and progress at all times.
• Ensure all local and corporate policies, rules, internal controls and procedures and safeguards as they relate to the Purchasing Department are complied with.
• Perform duties and projects that may be assigned by the Cluster Director of Purchasing from time to time.

JOB DEFINITION

DUTIES & RESPONSIBILITIES

Purchasing Function

• Purchase operating supplies and source for services as required by operations.
• Review and control items or services sourced by the respective departments for technical supplies in terms of pricing, credit terms offered and reliability of suppliers. This will include the review of the tender process, where relevant.
• Maintain a list of suppliers and current quotes of items frequently purchased.
• Issue purchase orders upon receipt of duly authorised purchase requisition forms (PRF) and ensure prompt delivery.
• Ensure that all PRFs raised are properly authorised in accordance with policies set with regard to Authorising Limits.

Inventory Control

• Assist in the annual stock count process.
• Record and issue general printing & stationery items, which will be stored and controlled centrally.
• Record and issue tokettes to the Housekeeping and Guest Services staff for the guest laundrette. Retrieve tokettes from the washers and dryers on a weekly basis.

Accounts Payable Function

• Code and key regular supplier invoices into accounting system.
• Match invoices to Purchase Order and/or Purchase Requisition Form.
• Liaise with suppliers on discrepancies in billings and follow up on credit notes.
• Process payments to regular suppliers.

Other Duties

• In addition to the above, the staff can be assigned additional duties/assignments by the Department Head.

• Lead the overall day-to-day work of the infrastructure operations ensuring events and/or incidents are responded to in adherence to established processes
• Institute strong governance to lead and direct infrastructure operational team with standard operating procedures (SOPs) and workflows
• Ensure that existing procedures are followed and that all procedures are documented in accordance with guidelines
• Explore new solutions and technologies, integrate learning and recommendations for operational efficiency and continual improve of the infrastructure for better user experience
• Identify and define service delivery risks and offer, own, and manage risk mitigation strategies
• Identify chronic operational and security issues, and ensure they are managed appropriately
• Provide overview of operational challenges, risks and opportunities to leadership team
• Manage and escalate roadblocks that may jeopardize operations, infrastructure, and SLAs
• Oversee the operational personnel’ daily tasking and serve as a mentor to provide leadership to operational personnel
• Escalate issues to leadership in a timely manner with appropriate information regarding risk, action times and root cause analysis
• Recruitment, hiring, managing, supporting and career development to infrastructure operation personnel

Requirements

• Degree in Computer Science, Information Systems, or related discipline or equivalent experience
• Minimum 5 years of relevant work experience in the security operational field. Experience with SOC environment will be ideal
• Demonstrates broad knowledge of infrastructure technologies, trends and strategy
• Provide in depth technical expertise for both tactical and operational initiatives
• Strong analytical skills to define risk, identify potential threats, and develop action/mitigation plan.
• Strong knowledge of Information Systems Security

Community
