ROLE RESPONSIBILITIES

Roles and Responsibilities

• Develop terminal procurement strategy for the assigned Area/s in collaboration with the Area/s and ONE procurement strategy through establishing long term partnership with key vendors at strategic locations for long term value creation, securing capacity and performance based collaboration
• Develop negotiation plans, strategies, securing competitive costs and executing contracts negotiations in collaboration with internal teams (e.g. legal, etc.)
• Support implementation of Global sustainability initiatives and drive with vendors

Requirements

• Degree in Finance, Accounting, Mathematics, Maritime Studies, Logistics or relevant disciplines
• 4 to 6 years of experience in the Investments Analysis, Financial Statements, Shipping/Logistics industry or related working experiences in costs side of business in Container Shipping
• Basic knowledge of financial statement analysis, structure of contracts
• Basic experience in finance modelling with strong analytical skills
• Experience in shipping or logistics Business Process Management and/or IT-related departments would be preferred

Responsibilities:

• Provide procurement support to cross functional teams in APAC, including contract guidance, sourcing, and third-party assessments
• Create and manage purchase orders our in-house Purchasing tool and track them to completion
• Manage manual onboarding of new suppliers/vendors
• Vendor query management - main POC for vendors and liaising with procure to pay (P2P) teams for invoice/payments issues
• Stakeholder management - main POC and escalation point for APAC queries with central internal teams
• Ensure compliance with purchasing and finance best practices
• Work with managers to ensure completion of Statement of Work documents where required by contract team
• Partner with Accounts Payable to resolve defective invoices

Job Description:

• Convert purchase requests to purchase orders in SAP
• Update new equipment warranties, preventive maintenance, and repair works
• Follow up on ETA and update revised ETA in SAP
• Check daily delivery documents of goods and services against our SAP system
• Verify invoices against our SAP system
• Email vendors if invoices are not submitted during deliveries and follow up with invoices
• Request credit notes and revised invoices from vendors if invoices are incorrect
• Ensure all goods and services rendered in the month are processed by month-end closing
• Check and clear procurement inbox emails
• Handle user requests for ETA (if any)
• Perform quarterly stock takes with other procurement and receiving staff (2-3 hours per stock take)
• File delivery documents
• Perform any other ad-hoc duties as required
• Act as a backup for other assistants during planned leave or medical leave
