Job Responsibilities

• Coordinate purchasing activities and maintain a safety stock level following company guideline.
• Prepare purchase orders and documents using MYOB system.
• Coordinate and liaise with requestor and supplier in the purchasing process and monitor the deliveries to ensure all items arrive as planned.
• Resolve vendor’s defects, shortages and missing product.
• Coordinate with oversea suppliers and forwarders for incoming shipments and liaise with internal department to complete the declaration and payment.
• Maintain approved supplier / vendor list, procurement master file and relevant documents in soft copies and hard copies.

Technical:

• Organize and attend Kick Off Meetings and informing the Supplier of the progress documentation required by Expediting Department.
• Control and monitoring both by phone and writing the Purchase Order.
• Request the Progress Report to the Supplier (VPR) Checking and coordinating the dates with the different departments (Inspection, Construction, Planning, etc.)
• Claim a copy without price of the sub-orders awarded by the Supplier. Monitoring and controlling the main sub-orders. Checking that they have been managed in time in order to not interfere in the manufacturing process.
• First claim of the Key Drawings once the Letter of Award or the Purchase Order is submitted. This reinforces the Documentation Department expediting.
• Enter all the information received from the Supplier in SMat, and updating the same, analysing and taking the correct action.
• Register and update of purchase orders relevant actions in the "Expeditor Daily” in SMat.
• Registration of "Incidences" in SMat and monitoring them until their closure.
• Internal expediting of other departments that might have to act on technical deviations, Non Conformity Reports, Expediting Workshop Reports,Quality Plan, Welding Dossier, etc. or any other incidence that might affect the manufacturing progress or may possibly impede the inspection or posterior release, specially referring to deadline.
• Alert and expedite Documentation Department of every document that haven't been returned on time and might affect an impact on the contractual deadline, either for being stopping the manufacturing progress or may possibly impede the inspection or posterior release.
• Expeditor should also alert Documentation Department regarding external documentation which delay in the submission involves an impact on the contractual delivery date.
• Monitor Workshop Expediting visits according to the Expediting
• Level of each Order, as well as request additional visits to the
• Expediting Coordinator if necessary.
• Review and distribution of Workshop Expediting Reports.
• Verify that the Supplier meets all Order Expediting milestones, as required through e-Fact.
• Expedite the shipping documentation necessary to issue the Shipping Authorization (RN).
• Issuing and distributing the Release Note (RN) and shipping instructions to Suppliers.
• Expediting the introduction in the system of the Material Receiving Report (MRR) by Construction Department.
• Expedite OS&D internally and externally until resolved.
• Regular filing in the Documentum.
• Verification of the requirements to close Orders and request closure to the Expediting Coordinator

• Identifying risks and opportunities to present to the management and share with store leaders
• Review stores benchmark by analyzing historical sales, purchase index, SKU efficiency, and specific store needs as well as strategy planning
• Liaise with marketing team to plan opportunity promotional sales

Inventory Management

• Analyzing sales data, trends, customer demands and liaison with category manager to create inventory forecasts
• Monitoring inventory levels to ensure that they remain within healthy shelf life
• Tracking shelf life of goods under category of care, updating expiry date wherever applicable
• Managing of inventory under category of care to prevent shrinkage or aged stocks
• Coordinating with suppliers or third party distributors to ensure timely delivery of stocks
• Following SOPs to handle damaged goods or depletion of short shelf life items
• Tracking of shipments to ensure orders placed are all in and checking of invoices & shipping documents where all information are tally

Analysis

• Analyze categories to identify areas of product gaps and business opportunities to enhance competitive positioning
• Analyze market and industry trends to keep products and services in line with changing market conditions and consumer trends
• Managing of timelines & stakeholders for each new product development project
• Sales Data Analysis - Analysis of sales figures and patterns to identify trends & gaps for optimization of sales

Job requirements

• Candidate must possess at least a Bachelor's Degree, Post Graduate Diploma, Professional Degree in related field.
• 2 - 3 years of working experience in the retail industry merchandising, Experience in FMCG is a bonus

Job Scope:

Purchasing

· Provide support in the planning and purchasing activities in the department; Stock take and order resupply and handle internal and external stock audits.

· Purchasing activities include (documentation preparation, monitoring of funds and follow up on procurement status for medication).

Operations

· Support review and development of workflow for the organization.

· Support the development of scenarios and hospital table-top exercises.

· Executive foundational services and daily work are up to the standards of the organization, and remain smooth and stable.

· Support to monitor Key Performance Indicators (KPIs) and optimize utilization of resources.

· Execute processes to improve operational efficiency and workflow.

· Execute internal/ external communications.

· Support Operations Manager by participating in price revision for inventory by proposing and filter critical items affecting profit or not in line with mark-up guidelines.

Fault Reporting

· Ensure hospital infrastructure is sufficient and functional.

· Track and feedback on any operational issues to management.

· Coordinate daily activities of operations to always ensure prompt and efficient services.

· Perform tasks based on standard operating procedures as well as ensuring the smooth and safe running of the various clinic and its' management.

· Monitor and collate statistics on hospital purchases, key performance indicators and submit reports periodically. Any other ad-hoc duties as assigned.

· Support in Stock adjustment (eg discrepancies, wastage, expired items) exercise which includes reporting and provide constructive feedback to improve the system.
