• Attend to human resource matters for all warehouse and delivery personnel, including staff discipline, settlement of disputes, leave management etc.
• Supervising, coaching and training of warehouse staff towards continuous improvement and development.
• Ensure adherence to good work safety practices.
• Work closely with the branch’s sales team to develop an effective logistics team structure, processes and operational framework to support the execution of the Company’s sales strategy.
• Provide feedback to the Company’s Senior Management on areas for improvement with regard to operational issues (logistics, manpower requirements etc).
• Identify potential cost savings and expenditure.

We are looking for a talented Finance Analyst - Inventory to join our team in Tuas South, Singapore. This will be following Hybrid work model.

In this role, you will make an impact in the following ways:

· Responsible for conducting cost analysis to support management in making operating decisions.

· Runs monthly cost updates and/or prepares standard cost data including annual cost role up.

· Maintains cost master; creates and maintains costing for new items.

· Develops and conducts basic cost audits and cost analysis.

· Analyzes cost variances (IPV (Invoice Price Variance/PPV (Purchase Price Variance) and monthly movements), determines root causes, and prepares recommendations and alternatives for improvements for review by supervisor.

· Identifies data analysis needs and works with appropriate departments to obtain the data on a regular basis.

· Prepares analysis and drafts presentation materials for review by supervisor.

· Assists in the inventory valuation process.

To be successful in this role you will need the following:

• Preparer for working file to review GPL Transportation financial performance (actual vs. forecast, actual vs. AOP) for internal review and Corp submission.
• ARM reconciliations
• Manage Indirect GRNI (Goods received not invoiced)– ensure work to clear down aged items.
• Other Tasks
• Preparer for inventory annual API exemption request
• Preparer and in charge for inventory costing (annual, half year and adhoc)
• Preparer for GPL Transportation forecast and AOP working files.
  Support statutory requests.
• Support submission of monthly cash forecast for Corp Treasury
• Business Partnering for Singapore GPL Transportation site (provides data, work with stakeholders for certain information used in forecast, etc)
• Develops and improves procedures.

Manage all direct & indirect inventory to ensure sufficient supply at all times.

Keep track of updated certificates of products

Liaise with Purchaser/Logistic/Sales team on any item quality issue to rectify and prevent supply shortage issue.

Investigate any inventory discrepancies, reconcile all inventory reports and highlight all issues/findings for management review.

Control all key items delivery daily and ensure to maintain safety stock and prevent over stocking.

Responsible for stocks return, exchange and stocks adjustment functions.

Act as key point of contact for all inventory-related issues and escalation.

To carry out tasks as and when assigned by the management.

Timely report and submit reports to the Manager.

Requirements:

To support the Technical Department in:

• Procurement, sourcing and purchase of vessels’ spare parts, supplies and services including preparation of relevant purchase orders and job orders to ensure proper supply for vessels.
• Compare prices, specifications, and delivery dates for Superintendents to review and determine the best offer among potential suppliers.
• Verify suppliers’ invoices against quotations and keeping track of vessels’ total expenditure against approved budgets. Verifies item received with items ordered; liaise and resolve with suppliers for mismatch items.
• Monitor vessels’ movements, liaising with suppliers, masters, and agents to ensure that supplies are delivered on board timely.
• Responsible for accurate record keeping, follow-up and filing of all stores and spares purchased for vessels.
• Actively follow up on vessels’ defect reports, arrangement of third-party service vendors and docking issues etc.
• Coordinate closely with Technical Superintendent and shipboard officers.
• Co-ordinate with vessels on various technical matters as instructed by the Superintendents.
• Maintain and update vessels’ technical certificates and arrangement of renewals whenever required.
• Any ad-hoc duties as assigned by Technical Superintendents and or Technical Manager.

Job Requirements:

• Diploma holders with 2-3 years of purchasing experience preferably in Shipping industry (Ship Management).
• Familiar with vessel records and certificates.
