• Documentation and Filing: Maintain clear and organized records for all AP transactions.
• Ad-Hoc Duties: Perform other tasks as assigned to support the team.

Requirements:

• Qualifications: Degree or Diploma in Accounting with at least 3 to 5 years of relevant experience in Accounts Executive and Finance.
• Knowledge of Regulations: Familiarity with financial regulations, including GST compliance.
• Software Skills: Proficiency in accounting software such as Xero and Adobe Acrobat, and strong Excel skills, including pivot tables and formulas. Experience with foreign currency transactions is a plus.
• Attention to Detail: Ability to manage multiple invoices, track due dates, and maintain accurate records to avoid errors.
• Problem-Solving: Skilled in resolving issues like duplicate invoices, incorrect charges, and vendor disputes.
• Communication: Strong verbal and written communication skills for interacting with vendors and team members.
• Independence and Prioritization: Ability to work independently, prioritize tasks, and meet deadlines with minimal supervision. Fast learner with a proactive attitude.

Job Responsibilities:

· Liaise with external vendors on procurement of medication and supplies

· Research and compare alternative medications to support management decision on drugs selection

· Analyse data relating to drugs usage, stock levels and expiry of medication to ensure prompt replenishment and redistribution

· Support clinical services by stocking, assembling, and distribution of medication

· Monitor and maintain optimal level of drug inventory to ensure availability as well as prevent excessive expiry of medication

· Communicate and collaborate with the clinics on all matter pertaining to medications

· Conduct regular assessments on work processes to improve operational efficiency and work flow

· Monitor and collate statistics and key performance indicators with regards to procurement and management of drugs inventory.

· Perform stocktake and resolve any discrepancies between physical counts and records in system

· Perform any other duties which may be assigned from time to time

Job Requirements:

• 3-5 years experience in related field

• At least a diploma in any discipline

• Proficient in Microsoft Office applications

• Knowledge of medications is a plus

• Experienced in Healthcare / Medical care industry will be an advantage

RESPONSIBILITIES

Business Continuity Planning:

• Develop and update business continuity plans to address potential threats and risks to the organization's operations.
• Collaborate with key stakeholders to identify critical business processes and establish recovery time objectives.
• Audit the process for regularly reviewing and updating the BCP to reflect changes in the business environment, technology, or staffing.

Risk Assessment:

• Conduct regular risk assessments to identify potential vulnerabilities and areas of improvement in business continuity strategies.
• Analyze and prioritize risks, providing recommendations for mitigation and preparedness measures.

Emergency Response:

• Develop and oversee emergency response protocols and procedures to ensure a swift and effective response to crises.
• Coordinate with relevant teams to conduct regular drills and simulations for emergency scenarios.

Training and Awareness:

• Provide training sessions to employees at all levels to enhance awareness and understanding of business continuity plans and procedures.
• Foster a culture of preparedness and resilience throughout the organization.

Incident Management:

• Establish and lead an incident management team to respond promptly to disruptions, minimizing impact and downtime.
• Coordinate communication strategies to keep stakeholders informed during incidents.

• Bachelor's degree in business, Risk Management, or related field. Master's degree or professional certifications in business continuity (e.g., CBCP, CBCI) is a plus.
