If successfully selected, candidate will be deployed in local MOE schools.

Contract Period: 01 Apr 2024 to 31 Dec 2024.

Options to extend the contract : 01 Jan 2025 to 31 Dec 2025.

Working Hours:

• Mondays to Thursdays: 7:15am to 4:15pm, inclusive of 0.5 hr lunch break
• Fridays: 7:15am to 3:45pm, inclusive of 0.5hr lunch break
• Service not required on Saturdays, Sundays and gazetted public holidays

Roles and Responsibilities:

Reception:

• Manage Front Desk duties with customer service mindset meeting the realist challenges and demands of a Primary School setting
• Answer phone calls, attend to walk-in visitors, takes messages, responds to enquiries and provide general useful information (in a dynamic environment where calls are volumous)
• Maintain customer related information when required, eg phone log.
• Communicate with teachers regarding parents’ feedback/ messages from phone calls or walk-in parents
• Handle daily varied demands and queries from parents/students/ vendors/saff etc
• Render first level assistance to walk-in students’ needs including sick and injured students. To escalate case to other colleagues in the office immediately if it is beyond superficial cases
• Handle/support situation when students’ vomit, soiled their clothes
• Assist student in times of need, eg lost & found items, change of uniform, locating teacher/classroom/parent
• Assist in receiving of goods and incoming mails
• Maintain tidiness of the Reception area at all times

General Admin

• Assist in the counting / sorting / packing / distribution of brochures or leaflets/items to the teachers and students
• Attend to students leaving school early
• Assist in the dissemination of information: school circulars, parents’ messages
• Manage stock of spare uniform
• Keep stock of first aid items
• Maintain the forms in the reception trays to ensure forms are current and replenished timely
• Assist in Primary One registration such as making photocopies of documents; calling parents to submit forms etc
• Support any othergeneral admin duties as and when required. 
• Any other duties assigned by School Leaders/HODs/AM/OM.

Qualifications, Skills and Experience:

• Minimum GCE “N” level
• Preferably has 2 years of relevant work experience, with an added advantage if the experience is within a school environment.
• Good communication and inter-personal skills
• Good team player with a high level of initiative
• Good customer service skills
• Mature individual with a pleasant disposition, is polite, patient, caring and positive
• Proficient in MS Office

As an administrative assistant, you will be resposible for,

a) Assisting the Heads of department and subject supervisors in ensuring a smooth and efficient running of their respective departments.

b) supervising the housekeeping processes and coordinating the maintenance of office equipment.

c) maintaining inventory through stocktaking, and the purchase and storage of office supplies.

d) organizing a filing system for important and confidential company documents.

e) keeping up-to-date department materials by printing and keeping supplies ready.

e) maintaining and updating company databases pertaining to students, parents and staff members.

f) distributing and storing correspondence including letters, emails and packages.

g) responding to queries, including calls, emails and messages, from parents and students in a timely manner.

i) performing data entry, including the scheduling of students.

j) greeting parents, students and other visitors in a professional and friendly manner.

k) maintaining the confidentiality of sensitive information pertaining to students, staff members and the business in general.

- Perform all tasks assigned according to established standards and procedures: take messages upon request, handle guests check-in /check-out and calls, maintain equipment and facilities; report any maintenance problems to engineers on duty

- Perform other duties as assigned by the Supervisor or the Management

Requirements

Salon Receptionist responsibilities includes:

- Answering clients’ questions about services via phone, email or in person

- Processing cashier transactions.

Job Roles:

- Handle customers' enquiries

- Handle appointments booking via phone/email/FB, etc

- Inform customers about new services, promos and discounts

- Update customer records details, etc

- Cashier duties

- Assist in serving beverages to customers

- Simple photo taking of customers' hairdo, posting on FB and introduce our loyalty program

Pre-Requiste

Working Schedule:

6 days work week
