Job Scope:

• Provide front desk support to the General Office

• Administrative duties will generally include:

(a) Manning the front desk to answer queries from public, parents and students

(b) Handling of incoming and outgoing letters, packages, and deliveries

(c) Handling all incoming calls to the school

(d) Issuing of Graduation Certificates and Academic certificates to students

(e) Updating students’ and staff attendance

(f) Maintaining internal facility bookings in the Campus

(g) Maintaining school internal calendar

(h) Assisting in the photocopying of school materials

(i) Assisting in the transport arrangements/confirmation for CCA and/or events

(j) Assisting in office admin such as updating organisation chart and honour rolls, office equipment maintenance, ordering fruit baskets, preparation/setup of events venue, replenishing first aid box, stationery, sanitisers, tissue boxes etc.

(k) Attending to emergency cases by calling for emergency ambulance services when directed

(l) Any other duties assigned by Admin Manager or supervising officers

Requirements:

• GCE 'N' Level Certificate or equivalent and above

• Good interpersonal, communication, analytical and negotiation skills

• Ability to multitask, work both independently and as a team

• Candidates must have at least 1 year of relevant working experience

Contract Period: From 1 Jan 2025 to 31 Dec 2025 (with option to extend till 2026)

Location: Barker Road

• Mondays to Thursdays: 7.00am to 4:15 pm

• Fridays: 7.00am to 3:45pm

Service not required on Saturdays, Sundays and gazetted public holidays

Working arrangement/working hours may be subject to change to meet school operational needs.

The service required are set out as follows :

• Provide pleasant and attentive services to members of public stakeholders and members of school, i.e. parents, students etc with their enquiries and requests.
• Provide timely, accurate and clear communication - both written and verbal - to members of public stakeholders and members of school, i.e. screen and direct calls, take and relay messages, provide required information for inquiries.
• Attend to sick or injured students who report to the General Office (GO) and notify relevant staff as well as maintain records of sick bay usage.
• Support the GO staff with administration and operational matters, e.g. organise and sort mails, receive deliveries, assist with recording students’ late coming. Checking the completeness of forms submitted to the GO.
• Keep proper records of keys and lockers issued.
• Complete other role-related duties as assigned by Principal, Vice-Principals, Administration Manager and Admin Executive

The personnel shall minimally have the following qualifications, skills and experience:

• Possess a minimum 3 years experience working as a receptionist or as a personal assistant to management/C-suite personnel, and/or relevant certifications.
• Have a good working knowledge of office IT software such as Words and Excel.
