Job Description

AI Singapore (AISG) is a national AI programme launched by the National Research Foundation (NRF) to anchor deep national capabilities in Artificial Intelligence (AI).

The programme office is hosted by the National University of Singapore (NUS) and brings together all Singapore-based research institutions and the vibrant ecosystem of AI start-ups and companies developing AI products to perform use-inspired research, grow the knowledge, create the tools, and develop the talent to power Singapore's AI efforts.

AI Singapore is sourcing for an individual to join the AI Innovation team as an Assistant Programme Manager / Senior Executive. The Assistant Programme Manager / Senior Executive will assist the Head, Talent Operations, AI Innovation, in managing and overseeing programmes that will impact the AI initiatives within AI Singapore and will be working closely with the AI Innovation Team to facilitate approvals in accordance to the governance structure within AI Singapore.

He / She will need to interact with Directors, internal administrative teams, professors, external funders and the respective institution’s administrative team.

Duties and Responsibilities

The Assistant Programme Manager / Senior Executive will manage, execute, support and track the progress of one or many concurrent programmes/initiatives, to bring the programmes to their successful completion. He / She is expected to:

• Work closely with the AI Innovation team and other stakeholders as required.
• Plan, coordinate and communicate programme plans, timelines and activities to internal and external AI Singapore stakeholders.
• Participate in programme launch activities such as estimation of efforts, preparation of high-level plans with timeline and resource-related requirements such as staffing and coordination.
• Monitor and track progress of programmes and stay on top of the programmes to ensure smooth execution.
• Manage and coordinate programme deliverables to ensure the programme quality and objectives.
• Manage the reimbursement and disbursement of funds, where applicable.
• Analyse and highlight programme risks, and develop necessary risk mitigation plans.
• Maintain programme issue register to keep close watch of programme issues till their resolution.
• Manage stakeholders’ expectations by understanding customers’ needs and providing realistic expectations and scope of the programmes for the AI Singapore team to execute upon.
• Provide periodic update on programme milestone progress to programme sponsors and escalate issues not resolvable through the AI Singapore management.
• Keep a complete record of all programme documentation (minutes, presentations, terms and conditions) to allow for easy and quick extraction for audit purposes.
• Support all auditing requirements for the programmes.
• Perform the tasks as assigned and delegated by the Head, Talent Operations.

Qualifications

• Bachelor’s Degree or equivalent practical experience.
• Strong programme management skills, with ability to manage one or more programmes concurrently.
• Strong verbal and written communication skills.
• Strong interpersonal and leadership skills – effective in fostering teamwork and supporting the team in various projects and activities.
• Strong administration skills to manage the programmes with proper processes and documentations
• Experience and background in AI or analytics will be a bonus.

Administrative Assistant (AMK/1 Year Contract/Up to $2600)

Duties & Responsibilities:

• To provide administrative support of SAP system

1. Creating of Repair Orders
2. Processing the inbound and outbound task in SAP system
3. Support spare part management which include stock counting
4. Support equipment management which includes tracking of devices on loan to customers

• Other general administrative tasks to Service support such as shipping documents, filing etc.

Requirements:

• A high school diploma or equivalent qualification is required. Additional education or certification in administrative or related fields is a plus.
• Customer service orientation with a commitment to providing excellent support to internal and external stakeholders.
• Demonstrated experience and proficiency in using SAP software for administrative tasks, particularly in creating repair orders and processing inbound and outbound tasks.
• Strong administrative skills with the ability to handle various tasks such as creating shipping documents, filing, and other general administrative duties efficiently and accurately.

COMPANY DESCRIPTION

Other than being the key logistics provider for NTUC FairPrice and its subsidiaries, we had serviced the Dairy Farm Group, Royal Ahold Group (since exited from Singapore Markets) and many small supermarket chains since our establishment.

RESPONSIBILITIES

Responsible for the daily warehouse operations and inventory accuracy. He/ she is expected to:

• Perform physical receiving and QC checks
• Record and update receiving and QC information to WMS / QC module systems
• Conduct QC check in accordance to sample size and quality document
• Ensure QC items meet quality requirement as stated in the quality document.
• Take photos of product quality and download/upload photos into QC module or reports.
• Participate in quality improvement meetings/initiatives/ projects.
• Reject failed QC items from suppliers / transfer failed QC items to non-conforming storage area.
• Ensure non-conforming products are not delivered to the stores.
• Ensure proper disposal of non-conforming products.
• Provide support and guidance to new staffs on Fruits quality checks, enabling them to perform in theirroles.
• Able to process order and other administrate matter such as store's feedback.
• Physically fit to carry carton boxes 20 kg and below.
• Using MHE to perform physical movement of pallets.

• Prior experience in quality check / control of perishable food (eg. fruits, vegetables etc) in a warehouseor distribution centre environment.
