Responsibilities:
- Act as System Admin for assigned Principals
- Work closely with local IT to ensure smooth system uploads and reporting
- Schedule system reports to relevant stakeholders – COMZ Division and/or Principals
- Sales mapping by customer by Rep for uploading into the different systems
- Weekly and monthly sales overview reports to COMZ management (GM, Biz Unit Managers)
- Monthly sales reports to Finance for billing purposes
- Prepare monthly sales reports per Principal in excel pivot for COMZ managers to use for their monthly sales performance report to Principals
- Prepare monthly sales forecast templates for COMZ managers to input.
- Preparation of monthly Salesmen’s commission and quarterly Manager’s commission for COMZ Management’s review and approval
- Handle customers’ sales queries and/or redirect them to respective Sales Team
- Maintaining A&P tracking reports for HPH & Simple
- Management of access control to all confidential documents and drives upon approval by GM.
- Maintenance of filing systems for Division’s key documents (Price/Bonus Maintenance forms, Request for Return Notes, sample chits etc)
- Follow up with Principals on outstanding price and trade returns documents
- Sorting incoming faxes and forward to relevant parties
- Work with Central Admin/HR in prompt replenishment of stationery/beverages for the Division
- Prepare the necessary for monthly Division meetings – meeting room booking and arrangement, refreshments
- Secretarial support to COMZ management team in arranging travel bookings, meeting and appointments.
- Compliance with ISO procedures, quality systems and COC
Requirements:
- Diploma in any field
- Minimum 3 years of secretarial experience in a sales environment
- Knowledge & skills in MS Office, good command of spoken and written English, good communication and interpersonal, problem-solving and follow-up skills
- Responsible, Adaptable, Meticulous and sense of urgency
- Able to have good communication skills and initiating actions
- High management of work and stress
- Building customer loyalty and contribution to team success
