The Role
This position will support and lead aspects of various aspects within the Enterprise Services group. Those items would include, but are not limited to, AFG’s virtual advertisement initiative, LED Content management, department contracting and freelance database management, providing updated department/company documentation as well as assist in the tracking and reporting of various departmental budgets.
Key Responsibilities
Technology & Transmission
- Setting up competitions, matches, playlists and users within AFG’s content management system working with cross-departmental teams to ensure deadlines are met within the various steps of the applicable competition life cycle.
- Sharing Virtual/LED content with venue teams and the AFC ahead of match delivery and providing updates where applicable.
- Supporting the team in various areas of the Media Asset management system “MAM” including setting up of events and user access, running reports, checking metadata and ensure the tagging of the media assets are consistent with established principles while coordinating with key stakeholders to ensure various deadlines are met.
- Responsible for supporting the overall delivery of virtual advertisement “VA” by:
- Crewing freelance personnel and supporting them with various items such as travel and accommodation needs, visas and information related to their assignment.
- Creating and issuing VA daily schedules to all key stakeholders.
- Working with AFG’s appointed VA supplier ensuring they have all the elements needed ahead of the events.
- Providing account management support to other 3D party entities delivering VA onsite across various competitions.
- Submitting production booking sheets for VA matches to cross department teams.
- Create and manage presentation materials to inform cross-departmental teams of VA initiative.
- Supporting the tender process which includes, but not limited, issuing Request for Proposal “RFP”, coordinating testing events, and reviewing of materials submitted by participants.
- Working with the Transmission team in coordinating SNG’s or internet requirements to deliver the relevant match which including working with key stakeholders on ensuring requirements from venue are available, issuing logistic letter requests to FA/LOC’s, parking passes, RF clearances (if applicable).
Events
- Responsible for gathering and submitting all accreditation and visa requests for personnel managed by the team for relevant matches/events. This includes, but is not limited to, suppliers, freelance staff, Enterprise Services team as well as client accounts.
- Supporting the overall planning of all special events which includes draws and award ceremonies.
- Act as the owner of the company match inventory and match calendar issuing updated documentation to the company on a monthly basis highlighting any key changes.
Contracting & Freelance Database
- Support the AFG’s freelance database system by maintaining SmartTracker and SmartDatabase. Support the overall onboarding and offboarding of AFG’s freelance pool working with the relevant line managers.
- Support in the overall maintenance and issuance of all contracts and work orders for the department including the maintenance of AFG’s contract database.
Budgeting & Reporting
- Support in the overall flash reporting and tracking of costs within the departments various budget.
- Responsible for raising of purchase orders.
- Managing the companies project ID’s to ensure systems are up-to-date and accurate with the latest competitions standings as well as providing updates to AFG’s appointed travel agency.
Other
- Scheduling meetings and coordinating agendas as well as issuing notes.
- Other ad hoc tasks as directed.
Skills, Experience and Qualifications
- Demonstrated interest in broadcast, media asset management, and content services.
- Attention to detail and ability to maintain organization in a fast-paced environment.
- Skilled user of all Microsoft applications, demonstrating strong Excel skills.
- Flexible, enthusiastic and motivated.
- Ability to prioritize tasks, stay organized, and work diligently both independently and within a team.
- Introducing fresh perspectives and innovative technologies to enhance content service.
- Willingness to work flexible hours, including evenings and weekends, to accommodate the demands of the role.
- Potential travel required for match delivery.
- Experience in events for 3+ years, with sports events a plus.
- Proficiency in written and spoken English; proficiency in other Asian languages is a plus.
