Job Overview

As part of the Professional Development Delivery (PDD) team, you will plan and execute professional learning workshops for educators, hosting over 10,000+ participants globally. This role includes logistics management, budget monitoring, vendor negotiations, and on-site leadership to ensure high-quality events.

Key Responsibilities

Event Planning and Management

• Plan and deliver face-to-face, online, and virtual workshops and events.
• Monitor and manage event logistics, venue capacities, and budgets to meet KPIs and quality standards.
• Communicate expectations and logistics with stakeholders, including workshop leaders, participants, venues, and staff.
• Lead on-site/virtual events, making quick decisions and implementing emergency plans as needed.
• Ensure events are branded according to IB guidelines and comply with sponsor/exhibitor policies.
• Provide coverage for team members as assigned.

Financial Management

• Negotiate contracts with third-party vendors to minimize costs while ensuring quality.
• Adhere to established budgets and financial guidelines.
• Process invoices and maintain financial records for event metrics, including attendance, expenses, and revenue.

Travel and Hotel Management

• Collaborate with the logistics team to arrange travel and accommodation for workshop leaders, representatives, and staff.
• Manage hotel bookings, rates, and master account lists.

Event Quality Assurance

• Compile post-event reports highlighting successes and areas for improvement.
• Maintain a high event quality survey score in alignment with organizational KPIs.
• Report performance issues of volunteers or leaders via the IBEN system.

Special Projects

• Participate in strategic projects or initiatives as assigned.
• Provide support for additional meetings and events, such as IBEN training.
