RESPONSIBILITIES

• Ensure timely issuance of Freight invoices and chasing/settlement of Freight upon completion of discharge
  • Check correctness of all data in Freight Invoice prior posting/sending
  • Pursue outstanding Freight payments via broker and charterer channels
  • Coordinate with Chartering/Commercial in case of delayed payments
• Calculation and submission of Demurrage and Miscellaneous claims / revenues based on handovers from Operations Department
  • Thorough perusal and understanding of CP and voyage documents to calculate and submit demurrage invoices and miscellaneous claims for relevant voyages in accordance with CP terms
  • Verification of Master's Statement templates on various operation-related claims e.g. Speed up, Deviation, Interim Port Calls, Backloading, Drifting, Shifting Bunkers, Turkish Straits and Panama Canal Delays, Awaiting orders and any other claim requests received from Operations Department prior raising Invoices to Charterers
  • Verification of AWRP, Armed Guards, Crew War Bonus and any other claim requests received from Control prior raising Invoices to Charterers
  • Ensure all claims/revenues are invoiced with full supporting documents, and are received within the time bar stipulated in the CP
• Collection of Claims and Maintain and update Receivables Summary
  • Frequent follow up with brokers and Charterers on payment of invoices by Charterers
  • Maintain customer relations and pursue timely settlement of outstanding claims
  • Travel to meet Brokers and Charterers to the extent needed in order to build and strengthen relations and resolve overdue/challenging claims with relevant parties
• Liaising with Pool FD&D for support in chasing outstanding claims and handling legal action
  • Evaluating the accuracy and correctness of disputed claims, taking and following advice from FD&D Club
  • Co-ordinate Legal Action with the Pool Participants and their FD&D provider
  • Sending and following up of Legal Demand letters for overdue claims
• Work closely with relevant stakeholders, both internally and externally
• Maintain and update relevant systems
  • Emails (in SEDNA) are to be properly categorized, tagged/marked and archived
  • IMOS' Receivables Summary updated with every counter received, response made, value date given, chasers sent, etc.
  • Running The Priority List for chasers
• In general show ownership of Company P/L by proactively assisting other departments by reminders of Freight / Demurrage and Miscellaneous claims / revenues to be issued
• Active participation and engagement in the process for the continuous improvement of departmental procedures
• Handle IMOS Activities and Actions as per the latest "HOW TO IMOS" document in place.

• Diploma in Maritime Studies or other relevant professional certificate
• Accounting/Control/Claims or other relevant background
• Minimum 5 years relevant experience in the shipping industry is preferred
• Familiarity with the oil tanker industry is preferred
• Fluent in written and spoken English
• Comfortable with a fast-paced and changing environment

• Facilitate BIM coordination meetings and manage clash detection and resolution.
• Provide BIM-related training and support to staff and project teams.

Project Coordination and Quality Control:

• Ensure accurate, consistent, and high-quality BIM models and data across all stages of the project lifecycle.
• Review and validate BIM models for accuracy, completeness, and compliance with project requirements.
• Manage and monitor BIM-related schedules and deliverables to ensure timely completion.
• Perform quality control checks on BIM data, including clash detection, model validation, and ensuring consistency between disciplines.

Software and System Management:

• Troubleshoot software-related issues and assist with technical support.

Process Improvement and Innovation:

Qualifications:

• Minimum Bachelor's degree in Architecture, Engineering, Construction Management, or a related field.

Job Description

• The Contracts/Commercial Manager is responsible for the overseeing commercial and contractual aspects related to the main contract and subcontracts, managing any commercial and contractual risk relating to the project and employ mitigation actions as quickly and effectively as possible.
• Review external providers (i.e vendors and subcontractors) terms of service and project deliverables.
• Provides contractual advisory from the commercial perspective to the project through all stages: construction, subcontracting, completion and hand-over,Provides support to the Quantity Surveyor
• team in the project, monitoring, reporting, planning and coordinating all aspects of their work.
• Proactively engages in continuous improvement and review of existing processes, systems and policies that may support the project’s contract management and administration.
• Advises on all contractual correspondence related to the project, considering commercial impact Identify, assess and manage / advise on contractual risk
• Manages contractual claims, disputes, settlements and resolution
• Communicates effectively with a wide range of stakeholders both verbally and in written notices eg. extension-of-time (EOT) , change order, etc.

• In charge of all Used vehicle and Leasing fleet for the company
• In charge of the vehicle movement and parking

You will be part of a team that provides financial management services across the GIC group.

We are looking for a suitable candidate to join Global Accounting and Operations with the Finance Department. As a member of the Finance team, your responsibility includes maintaining full set of accounts of the corporate legal entities to ensure compliance with in-country statutory and corporate tax regulations, perform fixed assets accounting and accounts payable functions.

What will you do as an Associate in the Finance Department?

Travel & Expense (T&E) Administration

• Support and execute the day-to-day T&E processes including expense reporting, expense audit, onward billings of T&E expenses.
• Assist in corporate card administration including card application, termination and monthly statement reconciliation, follow-up on long outstanding transactions
• Engage and work closely with end users, vendors and banks to resolve queries on T&E claims and corporate card transactions.
• Support delivery of new T&E initiatives and tools including user testing, change management and employee engagement.

Accounting & Reporting

• Responsible for the month-end close accounting and reporting activities that involves balance sheet review, intercompany settlement, analysis of accounting schedules, preparation of accounting transactions and reporting packages.

• Prepare statutory financial statements, trial balances and accounting schedules in accordance with relevant statutory requirements. Prepare external reporting requirements that includes in-country direct and indirect tax and statutory filings.
• Perform analysis on the financial statements and address queries from internal and external stakeholders that includes auditors and authorities.
• Lead initiatives to design, transform and innovate operational processes to meet business requirements.
• Assist in ad-hoc projects to meet new accounting and business requirements

Capital Asset Planning & Analysis

• Responsible for the month-end close accounting and reporting activities for fixed assets operations, including handling fixed assets additions, disposals and schedules preparation.
• Perform analysis on fixed assets and address queries from auditors and authorities.
• Assist in the review and reconciliation of accounts related to IFRS16 Lease Accounting.

Accounts Payables

• Process vendor invoices for payment.
• Perform vendor creation, maintenance and callbacks.
• Raise invoices for reimbursements of expenses.
• Support and work closely with business users, vendors and banks to resolve queries on staff claims, vendor invoices and payments.
• Support delivery of process improvements and perform user testing for new initiatives.

What qualifications or skills should you possess in this role?

• Bachelor’s degree in Accounting/Finance or equivalent professional qualification and 5 to 8 years relevant working experience in an accounting function and accounts payable function
• Experience in financial reporting for legal entities, local tax regulations and managing an external audit
• Good understanding and technical application of accounting standards
• A strong team player with excellent interpersonal, communication and analytical skills, who is keen to learn and pick up new challenges in a dynamic and fast paced environment
