Key Responsibilities:

Reception and General Office Duties:

• Manage the General Office reception counter and attend to walk-in visitors, including contractors, parents, students, and members of the public.
• Answer and direct telephone calls.
• Receive incoming mail and goods deliveries, and arrange outgoing mail for posting.

Sick Bay Management:

• Attend to students at the sick bay, administer basic First Aid, and liaise with school leaders, medical staff, form teachers, and parents when necessary.
• Maintain the cleanliness and functionality of the sick bay.

Administrative Support:

• Provide support to teachers for administrative tasks, including collation of forms, data entry, and preparation of reports.
• Assist with school events and activities as required.
• Handle the collection of forms, photocopying, laminating, and other clerical duties.
• Cover duties for the Library Officer when required.

Inventory and Procurement:

• Manage stock balance and order office supplies such as stationery, toners, and paper.
• Arrange for ad-hoc repairs and regular servicing of office equipment, including shredders and photocopiers.

Other Responsibilities:

• Collaborate with school staff and provide additional support as assigned by supervisors, the Administration Manager, or school leaders.

Qualifications and Experience:

• Minimum GCE ‘N’ Level qualification with a pass (C6) in English or equivalent educational qualifications.
• At least 3 years of experience in administrative roles (experience in school environments is advantageous but not mandatory).
• Proficient in MS Office Applications (MS Word, MS Excel, MS PowerPoint).
• Strong computer skills, including data entry and preparation of Excel spreadsheets.

Position Details:

Reporting to the Director, Global Marine Operations, the Operations Support Analyst is responsible for understanding system-based Operations work processes and owning the resolution of any process gaps. The Analyst is expected to resolve transactional process and system issues within the IMOS system, deliver training to voyage coordinators to reinforce processes, refine processes when needed, manage relevant documentation, and work collaboratively with the BI & IT organizations to design, manage, and deliver system-based solutions where appropriate. The Analyst will also act as vacation backup for Voyage Coordinators. The primary internal stakeholders for this role are Marine Operations, Marine Chartering, Freight Services, Marine F&PA, and Commercial Schedulers.

Primary Responsibilities:

• Own and manage all Marine Operations system based work process, most notably IMOS transactional processes. This activity includes understanding both the system and work processes, understanding process/Veslink errors, and recommending permanent fixes.

• Resolve errors related to data submissions to/from external and internal systems designed for Marine operational use (ex. IMOS, Veslink Support, SEDNA)

• Act as substitute/vacation relief for Voyage Coordinators.

• Manage Delivery/Re-delivery process of Time Charter assets.

• Manage and participate in On-Call Incident Response Duty.

• Own transactional relationship with Hub Agents. Work with Voyage Coordinators and Director, Global Marine Operations to ensure KPI issues are addressed and promote a high level of service from these companies.

• Lead testing efforts for system upgrades, including building workplan and schedule, onboarding testers, assessing results, working system fixes with vendor, and managing implementation activities.

• Act as subject matter expert resource for Marine F&PA and Freight Services (Accounting). Address SAP/IMOS interface issues and resolve through training and system design.

• Assist as needed in projects within the Marine Strategy area.

• Work on other continuous improvement projects (ex. IMOS, SEDNA) as required.

The Warehouse staff in a GDP and GMP secondary assembly area shall work closely with the warehouse team to maintain proper storage conditions, handle products safely, and adhere to GDP and GMP requirements to ensure product quality and integrity. The key responsibilities shall include below:

• Receipt of Products: Receive incoming products and verify the accuracy of shipments against customer pre-alert and provided details. Inspect incoming products for damage, contamination, or discrepancies and report any issues to the appropriate personnel. Ensure that all received products are properly labelled, tagged, and stored in designated areas.

• Storage and Handling: Store products in accordance with labelling specifications, ensuring proper temperature control and segregation of materials. Maintain cleanliness and organization in the warehouse to facilitate efficient storage and retrieval of products.

• Pick and pack for Outbound processing including Pick and pack products in accordance to customer instructions.

• Secondary Assembly: Perform secondary assembly operations on pharmaceutical products based on customer requirement.

• Inventory Management: Work with the warehouse team and perform regular inventory counts and reconcile inventory records to ensure accuracy.

• Compliance Monitoring: Monitor warehouse operations and report any non-compliance. Implement corrective and preventive actions as needed to address non-compliance issues and improve warehouse processes. Participate in execution of quality management system such as change control, risk assessment, CAPA handling and other elements of QMS as may be assigned.
