Main Responsibilities

As an Administration & Business Support Executive, you are key in creating a welcoming experience to employees and guests alike starting from the reception. Your role centres around the day-to-day operations of the office, ensuring the office runs smoothly, facility and supply wise. This role requires strong communication skills to manage and liaise with our third-party service providers (cleaning staffs) and vendors for optimal service. This role includes supporting on other administrative activities such as coordination and support of internal visitors from other LDC offices, company events and business travel documents. You are a primary contact point for business travel, to employees and our business travel providers. This role requires occasional Executive support for Senior Management. 

• Reception - Receive internal and external guests while ensuring a pleasant reception experience and area
• Manage office pantries and key 3rd Party service providers (Cleaning Staff)
• Monitor office inventory and vendor contracts (service and maintenance) and ensure office is fully equipped to support day-to-day operations
• Liaise and manage external vendors for optimal office maintenance servicing for pantry facilities and appliances, landscaping, and overall office cleanliness
• Primary contact for business travel and manage relationships with hotels and support in procurement of corporate contracts
• Support internal visitors to Singapore Office including hotel bookings, visa/invitation letters and general logistics
• Keep track of joiners and leavers and manage administration on/offboarding and profile creation/deletion
• Coordinate and support office events and arrangements such as travel logistics and restaurant/venue booking and liaison
• Coordinate with HR and manage company merchandise
• Manage vendor invoices from processing to tracking
• Provide support to Senior Executives such as arrangement of travel and hotel bookings and business claims as required

Experience

• 3-5 years’ working experience in Secretarial / Administration / Cabin Crew background in a fast-paced MNC environment

Academics

•  Minimum Diploma relevant to office administration/secretarial support

Responsiblities:

• Assist in managing incoming leads and inquiries, ensuring prompt response and proper routing to the appropriate sales representatives.
• Provide administrative assistance to the sales team, including data entry, scheduling meetings, maintaining calendars, and preparing sales-related documentation.
• Assist in creating and formatting maintenance proposals, including assembling necessary documentation, cost estimates, and service details.
• Maintain accurate and up-to-date records of sales activities, customer interactions, and project details using CRM software or other tools.
• Liaise with clients to schedule appointments, gather information, and relay important details between clients and the sales team.
• Conduct follow-up calls or emails to gather feedback, answer queries, and ensure client satisfaction after proposal submissions or sales interactions.
• Generate regular sales reports, performance metrics, and activity summaries for the sales team and management.
• Work closely with internal departments such as engineering, operations, and finance to coordinate project handovers, invoicing, and other operational aspects.
• Develop a basic understanding of ACMV systems and maintenance processes to facilitate effective communication with clients and internal teams.
• Assist the sales team with various ad hoc tasks, such as market research, competitor analysis, and preparing materials for client presentations.
   

Requirements:

• Diploma or equivalent in Engineering such as Mechanical or Electrical
• Previous experience in an administrative or sales support role is preferrer
•  Experience in the HVAC or maintenance industry is advantageous.
• Able to perform technical calculation (heat load, cold load), onsite visitation, selection.
• Excellent written and verbal communication skills for effective interaction with clients and internal teams.

The SAP ERP domain technical business analyst plays an important role in bridging the technical and business aspects. This role involves understanding current ERP related business processes and assist the DnA team with respect to SAP ECC and future S/4HANA intricacies, collaborate with business on requirements gathering for new use case projects and support production operations team on-demand.

Domain and BA Expertise

• Possess knowledge of SAP and/or S/4HANA ERP modules and functionalities
• Have experience as SAP Technical BA role supporting functions such as Finance, Manufacturing, Procurement, Supply chain etc.
• Understand business processes and workflows.
• Analyze how SAP data impacts business operations and decision-making.
• Experience on projects related to some of the use cases such as   procurement analytics, Supply chain analytics, BOM analysis, Enterprise finance performance reports, product and customer segmentation analysis reports, Inventory management etc.

Requirement Gathering and Analysis

• Assist new DnA use cases/projects gathering detailed functional and technical requirements from business users and/or Infineum functional consultants
• Understand the data sources, structure, and relationships within the SAP for the use case requested modules
• Analyze and translate business needs into clear technical specifications.

DnA technical team collaboration for ETL/ELT and BI development

• Collaborate with data modeler defining conceptual, logical and physical enterprise data warehouse model for SAP data
• Collaborate with data engineers to define data mapping, extraction methods , transformation rules and presentation layer business logic
• Collaborate with Powe BI developers on business logic development/testing
• Assist the DnA team to define data quality rules and Implementing data masking, anonymization, and access controls as needed

DnA support and operations

• Assist DnA Ops team in Identifying and troubleshoot data-related issues, collaborating with relevant teams for timely resolution.
• Assist the team on Implementing preventive measures to avoid recurring data problems.

Data Quality and Governance

• Work with data governance and business teams to establish data quality standards and compliance with data privacy regulations and organizational data governance policies

Technical Solution Design

• Collaborate with data engineers and architects on the solution documentation. Ensure solutions align with SAP best practices and standards.

Testing and Validation

• Develop test scenarios and validate data processes.  Participate in system and integration testing.

Documentation and Training

• Prepare technical documentation and user guides.  Provide training and support to end users and DnA team on-demand.

Communication and Collaboration

• Communicate technical concepts to nontechnical stakeholders.   Collaborate with cross functional and wider Portfolio teams on-demand.

• Bachelor's degree in Information Systems, Computer Science, Business Administration, or a related field.
• Strong SAP Technical BA experience with core understanding of ECC/HANA systems and modules such as Finance, Procurement, Supply chain etc.
• Proficiency in data integration concepts, ETL processes, and data transformation.
• Strong analytical and problem-solving skills.
• Excellent communication and interpersonal abilities.
• Familiarity with data analytics tools and technologies is a plus.
