RESPONSIBLE FOR project management, meeting documentation and record management of the APEC Secretariat. Reporting directly to Program Directors (PDs), the PE provides support and acts as primary contact for the PDs’ fora of responsibility.

PRINCIPAL RESPONSIBILITIES:

A. Project Management

• Assist Program Directors (PDs) and liaise with Project Overseers (POs) on all elements of project management, such as project budgeting, preparation of contracts, funding arrangements for travelers, disbursement of project claims, and project monitoring and completion.
• Coordinate project processes and communicate with PO and stakeholders during the lifespan of each approved project, such as budget tracking, preparation of contracts, funding arrangements for travelers, disbursement of project claims, and maintain comprehensive project documentation for monitoring and completion, per requirements of the Guidebook on APEC Projects and the ISO 9001 Quality Management System.
• Monitor project progress, identify any potential issues and escalate them to the PDs.
• Consider the circumstances of each project, where appropriate, when: (a) determining airfare funding ceiling and providing approval of airfare quotations to funded travelers before issuing travel undertaking letters to them. (b) submitting disbursement claims on behalf of funded stakeholders (travelers, contractors, and service providers) of each project.
• Work with internal stakeholders and respond to POs and stakeholders’ enquiries, such as funding availability, publishing requirements and status of disbursement.
• Provide guidance to POs on fulfilling project processes, reporting and publishing requirements in accordance with the various APEC guidelines and timelines requested by internal stakeholders.
• Performs other related duties as assigned.

B. Meeting Documentation and Support

• Monitor the timely collection, processing, uploading and submission of meeting documents, and the approval of non-member participation.
• Support meeting logistics, such as planning action timeline, assigning document numbers, creating cover pages and customizing document request form for each meeting.
• Assist PDs in the process of obtaining approval for non-member participation per APEC Guidelines on Managing Cooperation with Non-Members, and where applicable, facilitate the request for invited guests’ registration.
• Collate, process and upload meeting documentation per Submission of Meeting Papers – Tasks and Responsibilities Checklist.
• Submit meeting documentation to the Documentation Centre and Information Manager in a timely manner.
• Performs other related duties as assigned.

C. Record Management

• Update, maintain and comply with filing protocols for fora records.
• Maintain up-to-date contact list of APEC fora.
• Adhere to filing system per prescribed standards, and maintain all records of fora on APEC shared drive, website and modules in APEC Information Management Portal (AIMP).
• Understand and follow the Guidelines for Handing and Taking Over Process in cases of portfolio reshuffling or taking up new assignments.
• Where applicable, assist PDs to format/submit documents/reports, and upload them onto the APEC Collaboration System (ACS)
• Performs other related duties as assigned.

Responsibilities:

- Ordering of Products, Unloading of Products and Replenishing of Products onto product racking.
- Ensure product prices are up to date and accurate at all time.
- Checking on expiry dates and shelf lives of products.
- Maintain and store products neatly.
- Perform daily housekeeping.
- Provide good service to customers at all times.
- Any other adhoc duties as assigned.

Requirements:

- No working experience needed, job training will be provided.
- Must be able to carry at least 5KG / 10KG of load.
- Able to stand for long hours.

Job Summary:

The successful applicant will in the day-to-day accounting function focusing on Accounts Payable,

liaising with vendors and staff on payments and accounting matters, monthly closing and

reporting. Ensure that accounting procedures and records are in compliance with acceptable

accounting standards, practices and internal policies. The role reports to Assistant Finance

Manager.

Requirements:

• Minimum diploma/degree in Accountancy or equivalent
• Minimum relevant experience of 3 years to 5 years
• Relevant experience in Accounts Payable is an added advantage.
• Good understanding of internal controls and corporate governance.
• Proficient in Microsoft Office Applications, Excel and accounting system
• Good command of written and spoken English
• Motivated self-starter, resourceful and ability to work independently; keen to learn with
• the ability to collaborate with various school departments
• Resourceful in managing competing priorities
• Pleasant disposition with good interpersonal and organizational skills
• A good team player, possess good initiative and hands-on attitude

Key Responsibilities

1. Payments Cycle

· Responsible for processing of all invoices and payments (to vendors, staffs, parents, etc) and ensuring that correct expenses are paid accurately and promptly to the correct payees within stipulated guidelines.

· Perform vendor checks/updates and bank accounts verifications to ensure payments are made to valid recipients.

· Ensure that all payments are made in accordance to the school internal policies and also in accordance to approving authority.

· Process all cash and credit card transactions, including follow up on receipts and schedules.

· Ensure that GST are accounted correctly and expenses are recorded in correct accounts and budget codes.

· Liaise and communicate with vendors, staff etc on payment related, accounting and other queries.

· Perform statements of accounts reconciliations and follow up on queries and timely resolution of discrepancies.

2. Fixed Assets

· Responsible for accurate recording of assets and maintaining of the fixed assets register, including tagging, sighting and depreciation run.

· Responsible for fixed assets disposal including liaising with end-users on procedures & form, witnessing disposal and update asset register.

· Responsible for depreciation run and relevant fixed asset schedules, reconciliation and analysis.

3. Financial Reporting, General Ledger, Budget, Tax and other Statutory Requirements

· Prepare relevant journals, schedules and reports for accounts closing.

· Prepare monthly division report, Fixed asset report, trip and activities reports among others.

· Prepare Bank & other reconciliations and analysis of accounts for monthly, termly and yearly closing.

· Assist in year-end, financial budget, internal & external audits.

· Attend queries from budget holders/ teachers on accounting treatments, payments and others.

· Assist in preparing quarterly GST reporting and statistics for Government departments.

4. Fixed deposit and monitoring of cash flows

· Liaise with banks and prepare the necessary documents for placement, rollover and withdrawal of fixed deposits.

· Performing analysis and monitor cashflows requirement.

· Assist in treasuries and other ad-hoc bank matters.

5. Others

· Assist in any other accounting, budgeting & accounts payable matters, ad-hoc analysis/ reports and projects as assigned.

· Liaise with external parties and other departments in connection with the accounting and financial matters of the school.

· Be responsible for reporting any concerns about a child to the Designated Safeguarding Lead.
