Job Description: Administrative Assistant (Reception Counter)
Location: Bowen Secondary School, 2 Lorong Napiri, Singapore 547529
Contract Period: 1 Aug 2024 to 31 Jul 2025, with an option to extend for an additional 12 months (1 Aug 2025 to 31 Jul 2026).
Working Hours:
- Mondays to Thursdays: 8:00am to 5:30pm (1-hour lunch break)
- Fridays: 8:00am to 5:00pm (1-hour lunch break)
- Not required on Saturdays, Sundays, and gazetted public holidays
Key Responsibilities:
- Reception Duties:Attend to walk-in visitors and call-in enquiries, including queries from parents regarding financial assistance.
Manage the reception counter efficiently and professionally.
- Mail and Deliveries:Receive and record goods procured by the school.
Maintain a daily log of all mail and deliveries received.
- Staff Attendance Monitoring:Assist the Relief Team in monitoring staff attendance.
Track the daily attendance of contract staff.
- Printing and Photocopying:Provide printing and photocopying services for school staff, including worksheets, circulars, notes, and other materials.
- General Administrative Support:Perform general administrative duties as assigned by the Administration Managers.
Support front desk operations and ensure smooth administrative processes.
Qualifications and Skills:
- Minimum of 2 years experience in customer service and office administration, preferably within a school environment.
- Proficient in English, both written and verbal communication.
- Detail-oriented, with the ability to work independently and meticulously.
- Proficient in using MS Word and Excel.
- Skilled in handling office equipment such as laminating and binding machines, and photocopiers.
- Strong interpersonal skills and a pleasant demeanor.
- Team player with the ability to collaborate effectively with colleagues.
