Job Duties:
- Coordinate and schedule internal and external meetings, including client meetings for managers.
- Prepare necessary meeting materials as required.
- Maintain calendars for managers and teams, ensuring alignment between global calendars and local schedules.
- Facilitate scheduling of client meetings in global offices, collaborating with assistants worldwide to ensure smooth meeting setups and operations.
- Prepare travel agendas and meeting materials as necessary.
- Arrange video and audio conference setups across global offices.
- Handle travel and hotel bookings, ensuring compliance with travel policies regarding budget and travel class.
- Process expense reports using the company's system, monitor managers' expenses until reimbursement, and reconcile monthly credit card statements promptly.
- Organize and maintain administrative paperwork, including filing, invoicing, and other administrative tasks as required.
Job Requirements:
- At least 3 years of relevant working experience
- Highly organised with effective time management skills and attention to detail
- Great interpersonal communications
