JOB RESPONSIBILITIES:
- Research potential vendors and sourcing for various quotations for required goods and services, to secure competitive pricing, lead time and delivery terms.
- Perform full spectrum of procurement functions, work closely with the sales and customer service teams for end-to-end order processing and customer delivery.
- Lead negotiations to establish favourable contract terms and pricing agreements.
- Ensure contractors fulfil their contractual obligations, verify compliance with contract terms, to safeguard the company’s interests across all projects.
- Carry out procurement activities based on product specifications, projects tender requirements, and organizational needs, ensuring adherence to procurement guidelines.
- Process purchase orders for both local and international suppliers, ensuring timely delivery to meet project timelines and expedite outstanding orders.
- Regularly review pricing and quality of vendors and purchased products/services to maintain compliance with company and quality assurance standards.
- Handle accounts payable duties promptly and in compliance with financial policies.
- Submit necessary documents for GST submission and liaise with declaring agent for import and export documents and clearances.
- Manage inventory levels efficiently to ensure product availability and cost-effectiveness.
- Monitor project costs, coordinate payment schedules, and maintain adherence to budgetary objectives.
- Maintain accurate records, proper documentations of procurement related activities, and supplier database.
- Cultivate collaborative relationships with internal stakeholders and external vendors to streamline procurement processes and optimize operational efficiency.
- Maintain compliance with ISO9001 and ISO45001 standards in daily work.
- Uphold strict compliance with company policies, regulatory requirements, and industry standards in all procurement activities.
- Other duties as assigned by the respective lead.
JOB QUALIFICATIONS:
- Diploma/Degree qualification in Supply Chain, Engineering, Business Administration, or related field.
- Minimum 2 years of proven working experience as a Sourcing and Procurement Officer.
- Proficiency in Microsoft Office Applications (eg. Word, Excel, PowerPoint, Outlook) and XERO accounting software.
- Ability to communicate effectively with senior management, local and overseas vendors, and internal stakeholders.
- Ability to multi-task and prioritize effectively in a fast-paced environment.
- Self-driven and able to work under minimal supervision, taking initiative to complete tasks.
- Excellent verbal, written and presentation skills.
- Embraces a growth mindset with strong personal integrity. Demonstrates teamwork, proactive problem-solving, and a positive approach to managing challenges. Ability to collaborate effectively across diverse teams is crucial.
- Experience with technical specifications and contracts would be an added advantage.
- Immediate availability to start work is preferred.
