Key Responsibilities:
- Coordinate shipment operations, manage schedules, ensure timely communication, and maintain essential documents.
- Monitor and oversee sales-related shipment coordination to ensure timely delivery.
- Address customer complaints, provide after-sales support, and process orders accurately and promptly.
- Inform clients of any unforeseen delays or issues; ensure compliance with company policies.
- Prepare and validate documents for LC transactions (Packing List, Invoice, Bill of Lading).
- Capture and analyze data related to pricing, production, quality, collections, shipments, and publication information.
- Update monthly Revenue Commitments, track Provisional vs. Final Prices, and monitor annual commodity sales by region and grade.
- Draft, update, and refine SOPs to ensure efficient operations; participate in workflow process improvements.
- Maintain seamless communication regarding logistics with customers and our team in South Africa.
- Draft and send price offers based on the South African mandate; engage in pricing discussions and negotiations with Sales Teams.
- Generate Sales Agreements, manage ERP system for accurate transaction documentation, handle sample requests, and maintain customer accounts.
- Arrange and conduct customer visits within the country.
Qualifications and Skills:
- Diploma or higher in Business Administration, Logistics & Supply Chain, or a related field.
- Previous experience as a sales coordinator or in administrative roles is advantageous.
- Proficiency in MS Office (Word,Excel, PowerPoint); experience with ERP systems preferred.
- Familiarity with Incoterms and their application in international shipping.
- Strong analytical,organizational, and problem-solving skills.
- Excellent communication skills,both verbal and written.
- Ability to work independently and maintain strong customer relationships.
- Keen attention to detail and strong problem-solving skills.
- Ability to work independently and as part of a collaborative team.
- Knowledge of international trade regulations and practices is a plus.
