OBJECTIVES & MISSIONS
Reporting directly to the Senior Warehouse & Logistics Manager, you will coordinate and organise the administrative aspects of receiving and shipping Customer’s equipment.
Your objectives and tasks:
- Identifying products under quarantine and taking action with Sales Administration team to correct identified anomaly and release the product from quarantine
- Call for Transport: Contacting freight forwarders (as the main point of contact for FedEx and DHL)
- Being the main point of contact of the service provider Quality Air&Sea for all Logistics and Customs issues
- Supporting the Sales Administration Representatives in Customs and Logistics matters
- Implementing the necessary action plans to improve Customer’s logistics/administration flows as well as internal logistics flows
- Ensure Customs follow-up of repair book.
MAIN ACTIVITIES
- Working closely with the Sales Administration (Front Office) departments and the Receiving/Shipping Department to ensure that parcels received for repair are properly tracked
- Working with Sales Administration team to enable them to collaborate and identify areas for improvement with Customers and to ensure that errors that lead to delays in processing repair orders are not repeated (quarantine monitoring)
- Anticipating parcels routing modifications relating to Repair Capability List updates
- Producing the documentation package (invoice, delivery note, etc.) and organising collection with the various forwarding agents
- Issuing pro forma invoices for sending parcels outside the EU
- Ensuring that customs operations are completed in compliance with the regulations (together with the customs service provider: Quality Air&Sea)
- Ensure T1 parcels tracking
- Tracking open repair order lines requiring a logistics/customs action
- Managing disputes using a “single database” like Sales Force- database (if tool available on site)
- Opening orders (create WOs) in the ERP system for customer products presenting no receipt anomalies
Ensuring compliance with standards and improving them:
- Applying safety and operating standards (quality, lead times, 5S, maintenance)
- Updating standards by proposing improvements
- Participating in improvement projects
Requirements
- Good communication skills
- Customer satisfaction focus
- Good knowledge of import and export customs and Incoterms
- Ability to use M3
- Knowledge of the aviation environment (FAA, EASA, etc.)
- Knowledge of regulatory and financial constraints (trade compliance, export control, export licence, customs, etc.)
- Office suite, CRM, ERP, EDI, etc.
