Job Objective:
- To provide secretarial and personalized support to the Managing Director
- To provide administrative support to Sales & Marketing Departments
Core Responsibilities:
70% - Managing Director’s Personal and Office Matters
30% - Sales & Marketing Support
1. Personalized Support to MD and Family
- To attend to the MD’s needs and requirements
- To manage the MD’s personal matters (vehicle, housing, insurance, travel, banking, etc.)
- To liaise with the MD’s family members and assist where necessary
- To research, recommend and purchase items required by the MD and family members
- To engage and co-ordinate vendors, suppliers and stakeholders to complete tasks assigned
- To organize and/ or attend family functions when required
- To maintain proper records of purchases, arrangement, documents and petty cash
2. Secretarial Support
- Perform day-to-day administrative tasks assigned to you
- Coordinate with various stakeholders to manage Managing Director’s calendar for appointments, meetings, events and functions
- Take and circulate minutes of meetings and ensure follow-up actions in the minutes are carried out
- Make arrangements for the MD’s business trips including but not limited to itinerary planning, flight, hotel, transportation, reservations, currency and business meetings
- To maintain proper records of MD’s monthly expenses claims and submit it accordingly
- To maintain proper records of documents, events and articles of the Corporate Department
- Draft and proof-read emails and letters on behalf of the MD
- Receive and attend to all of the MD’s guests
- Update MD’s contacts database
- To liaise with business partners, stakeholders and all other parties for tasks assigned
3. Sales & Marketing Support
- Participate and provide support to all Marketing events and functions
- Maintain proper records of documents, events and articles of the Marketing Department
- Assist in preparing and updating presentation slides and reports
- Assist in managing the company’s social media accounts and marketing articles (corporate profile, brochure, website, etc.)
Requirements:
- Minimum A Level or Diploma-holder in any field
- Min. 1 year, max. 5 years Personal Assistant or Secretarial work experience, preferably reporting to C-suite and/ or equivalent
- Able to work in a dynamic and fast-paced environment
- Good interpersonal, communication and written skills
- Friendly and Outspoken personality
