Administrative Manager

Roles and Responsibilities

Executive Support:

  • Provide administrative and secretarial assistance to the Managing Director, including scheduling and coordinating meetings, managing travel and accomodation arrangements, preparing meeting minutes, among other tasks.
  • Support the sales executives by scheduling and coordinating introductory and sales meetings, preparing meeting minutes, among other tasks.
  • Assist the sales team with various administrative tasks as needed.

Finance and Accounting:

  • Financial Reporting: Prepare and maintain accurate financial statements, reports, and records.
  • General Ledger: Manage and oversee the daily operations of the accounting, including accounts payable/receivable, general ledger, and payroll.
  • Tax Compliance: Ensure timely and accurate filing of all tax returns and compliance with relevant tax regulations.
  • Process payments for overseas and local suppliers or partners (visiting bank to process invoices, internet banking, etc).

Office Management:

  • Handle day-to-day office management tasks to ensure smooth running of the office.
  • Liaise with external vendors including technology/software support, cleaning services, office building management, and courier services.
  • Manage office supplies, stationery, and pantry, ensuring timely refills and inventory checks.
  • Act as the primary point of contact for all executives regarding office-related matters, such as using office equipment (e.g., printers), addressing issues, and providing status updates on various office functionalities.

Database Management:

  • Manage and update the internal database with new contact and customer details, project details, etc.

Human Resources:

  • Assist with onboarding new staff, arranging employment contracts, processing salaries and CPF payments to ensure timely staff compensation, etc.

Required Qualifications:

  • Relevant or similar experience in an administrative and accounting role.
  • Excellent verbal and written communication skills in English.
  • Ability to multitask and prioritise work effectively.
  • Exceptional organisational and time management skills.
  • Proficiency in using office software and equipment.
  • Diploma or degree in business management or related/relevant fields.
  • Right to work in Singapore without requiring sponsorship of employment passes.

Good-to-have qualifications/experience:

  • Experience in the marine and offshore, shipping, heavy equipment, or related industries
