Facility, Security & Fire Safety Manager (Part-time)

Key Responsibilities:

  • To manage, schedule, and arrange the work of on-site contractors performing maintenance tasks and other work routines for fire safety and building issues.
  • To ensure efficient and effective maintenance of WOA facilities through regular inspections and preventative maintenance techniques.
  • To guarantee that repair and replacement work is completed in accordance with fire safety & building safety criteria by sourcing, negotiating with, and following up with contractors.
  • To make sure that security systems are kept up to date.
  • Carry out fire safety inspection in the building
  • To ensure that the current Fire Safety criteria and requirements comply with the required regulations.
  • To plan and conduct regular Fire Safety meetings in order to proactively raise awareness of safety issues.
  • To make sure that the Fire Alarm System and Fire Protection System are maintained correctly and in good working order.
  • To be responsible for renewing fire certificate and fulfilling other legal requirements.
  • To complete other duties that are included in the Fire Safety Act and Fire Safety (Fire Safety Manager) Regulation.
  • Liaise and coordinate with Singapore Civil Defence Force (SCDF) on all matters pertaining to fire safety and its requirement
  • The fire safety requirements comply with the Emergency Response Plan.
  • Formulate and perform the Emergency Response Plan for the premises.
  • Distribute the Emergency Response Plan to the inhabitants of the premises and properly train them to follow this.
  • Make certain that all occupiers of premises are familiar with the ways of an emergency exit, located within the premises in case of a fire emergency.
  • Organize and perform fire drills in the proper way, for the residents of the premises at least twice in every calendar year.
  • Ensure Security System like card reader is well maintain.
  • Direct day-to-day operation of the security and fire safety to ensures the building is operating optimally and efficiently to achieve the overall objective of a goodstandard of security and fire safety system
  • Design and implement all preventive security and fire safety policies and procedures.
  • Develop and be responsible for the security and fire safety awareness training and orientation program related to WOA’s emergency procedures for new employees.
  • Environmental Control Coordinator (ECC) coordinator duties and renewal
  • Manage the office building and act as the liaison for tenants regarding any property management matters (cleanliness, car park, lift security, maintenance/engineering issues).
  • Regular site walk / review to ensure all areas of the building compound are safe, compliant and well presented.
  • Manage and supervise all maintenance include term contract works such as cleaning services, gardening, pest control, toilet hygiene, waste disposal, ambience scenting, etc.
  • Conduct regular site inspections, risk assessments and follow-up actions to maintain safety standard and compliance to building safety regulations and ensure effective management of the facility, common areas including car parks, electrical, plumbing issues etc
  • Review all contracts, agreements before their expiry and recommend renewal or call for quotation / tender.
  • Look for quotations and liaise with external vendors on facilities / building and equipment repair
  • Attend to emergency breakdown of services and provide solution to restore the operation
  • Perform routine checks and inspections of the building services / facilities and follow up with repair and replacement (where necessary)
  • In an emergency situation which occurs after office hours, ensure all concerned parties are contacted and recalled to attend and rectify/ reset the fault quickly.
  • Assist with any other ad-hoc duties assigned by the management.

Requirements:

  • 3 days work week between Monday to Friday
  • Ability to plan, organise and supervise a team of contractors in carrying out planned and ad-hoc maintenance work.
  • Minimum 2 years of relevant facility management working experience.
  • Possess a valid FSM valid certificate and at least 2 years of FSM experience
  • Possess good communication skills
