Regional HR Operations Executive

Role Summary

This role supports the ENGIE SEA Human Resources Division and collaborates with various entities across the ENGIE SEA clusters, including Singapore, Malaysia, Philippines and China. This role will also extend HR shared service support to other ENGIE entities present in Singapore.

Reporting into the Head of Regional HR, ENGIE SEA and supporting the Regional HR team (both COE & Business HR) for following key HR operational support functions.


Key Responsibilities:

§ Talent Acquisition

o Assist in interview arrangement, checks and verification of documents

o Process work pass applications, renewals, and cancellations for foreign employees and interns, and liaise with relevant authorities and agencies.

o EVP branding support and events such as career fair, etc. to assist the achievement of recruitment and DEI KPIs.


§ Compensation & Benefits

o Assist with centralized payroll shared services for monthly payroll administration and payroll audit requirement

o Handle enquiries and assistance on any compensation and benefits related enquiries from staff for eg. leave, claims, etc.

o Assist in the submission of MOM and SNEF surveys that includes quarterly and annual salary, headcount and training data

o Verification of bills, claims, PO & invoice payment processing. Also assist in business travel arrangements.


§ Onboarding

o Assist in the preparation of onboarding materials

o In charge of staff onboarding and orientation (below managerial grade (E6)), including reporting email, buddy arrangement and completion of mandatory trainings


§ Learning & Organizational Development

o Logistical support for major learning events, monthly Learn@Lunch, training setup and reporting, People & Planet Recreational Club, etc.

o Support the rollout and action plan for ENGIE & ME Employee Engagement survey, mental wellness survey such as iWorkhealth Mental Wellness Assessment, and other people culture initiatives such as DEI, learning KPI, corporate culture, etc.


§ HR Operation/HRIS/Business Support

o Update and maintain internal HRIS system in an accurate and timely manner – new hires, transfers, changes, exits, etc.

o Support staff movement, reorganization and restructuring for both internal organization as well as M&A or JV setup

o Maintenance of HR Sharepoint Page and HR Shared Folders.

o Data cleaning and organization, HR data analytics, etc.

o Preparation of letters for employees e.g. visa and certification letters

o Assist in preparation of data and reports for Group reporting purposes, e.g. QBR, GSR

o Assist in update of organizational charts and various headcount reports on a monthly basis

o Support HR events such as Career Day, Onboarding Day, Fruits Day, Staff Town hall, Learning Days, Festive and staff engagement events.

o Staff enquiries and any other duties or projects as assigned.


Requirements

§ Bachelor’s Degree/Diploma in Human Resources, Business Management or equivalent

§ 2-5 years of relevant working experience in HR and knowledge of HR local employment law & practices will be advantageous.

§ Strong command of English (spoken & Written) and strong MS Office/Digital/Graphics skills

§ Excellent interpersonal relations, customer service and stakeholders management skills

§ Adaptable and ability to interact professionally across all organizational levels, adaptable to different cultural background, observe strong ethics code of conduct, diversity & inclusion, and safety & health practices at workplace.

§ Good initiative, organizational, eye for details, analytical and problem-solving skills

§ Committed, good planning, prompt follow-up and execution capabilities with mindset for continual improvements.

§ Independent, self-motivated and keen in learning for grow & development of career in HR, locally and regionally.
