Position Overview:
As HR and Office Manager, reporting to the VP, Discovery Research and Site Head of Singapore, you will play a central role in ensuring smooth administrative/office operations and streamlined daily HR support for our Singapore site. This is a part-time role, with the ability to set a flexible schedule. The role will start with a commitment of 10 hours a week, with the potential for additional hours in the future. Our ideal candidate is an experienced HR and administrative professional with excellent communication skills and a desire to work in a dynamic, mission-driven organization.
Responsibilities:
- Provide day-to-day HR support to the Singapore team, liaising with corporate HR to ensure streamlined execution of HR policies and programs across the organization.
- Develop, plan, and coordinate local employee engagement and welfare activities aimed at maintaining a positive workplace environment and culture.
- Coordinate recruitment activities, ensuring a positive candidate experience. Coordinate video and in-person interviews, including calendar scheduling.
- Manage onboarding and offboarding activities, including IT logistics, to ensure a smooth and welcoming experience.
- Maintain benefits and health plans, working closely with external vendors.
- Assist in the preparation, processing and reconciliation of payroll and employee leave systems with internal functions and external vendor/s.
- Serve as local HR business partner, building effective relationships at all levels in the company to ensure HR policies and programs are aligned with business strategy. Provide recommendations for improvements on ongoing basis.
- Serve as the main point of contact for all office matters.
- Maintain general office functions such as office supply inventory, and access passes. Liaise with building management and other vendors to ensure smooth office operations.
- Plan and coordinate logistics for internal and external visitors to the Singapore office. Assist with occasional travel booking and meeting coordination.
- Proactively review administrative systems and processes to update or improve efficiency.
- Serve as point of contact for office-related communications, news, and events.
- Perform other administrative responsibilities, as assigned.
Qualifications:
- Bachelor’s degree preferred.
- A minimum of 5 years of experience in Human Resources and/or office administration
- Experience in the biotech industry a plus
- Ability to work in a dynamic, fast-paced, global environment
- Excellent communication, interpersonal, and time management skills required
- Accuracy, attention to detail, and organization skills with the ability to shift with changing priorities
- Proficient in MS Office Suite (including Office, PowerPoint, and Excel)
- Self-starter who enjoys collaboration and continuous improvement
- High integrity with the ability to maintain confidential and sensitive information
- Ability to work occasional early/late hours to accommodate global time zones
