Imperial Global Singapore (IGS) is looking to hire a Finance and Business Manager to manage the finance function and support the HR functions of the of the new research hub.

IGS is Imperial College London’s formal legal entity in Singapore to undertake research and innovation projects in collaboration with universities, industry, government, and third-sector partners from across the Singapore research and innovation ecosystem.

Hosted at the Singapore National Research Foundation’s Campus for Research Excellence and Technological Enterprise (CREATE) and located at the National University of Singapore UTown Campus, IGS provides the physical and administrative infrastructure to extend Imperial’s research and innovation activities to Singapore and broader South East Asia. CREATE also hosts interdisciplinary research centres from top global universities.

The Finance and Business Manager works as part of the IGS administrative team to manage the finance function and support the HR functions of the hub. The post holder has operational responsibility for all day-to- day finance function of the centre, including processing purchases, expenses and payroll; maintaining the finance system; monitoring project expenditure and budgets; The role holder will also support the HR function of IGS. The postholder will liaise regularly with IGS and Imperial staff, as well as external sponsors, suppliers, auditors, and inputting into the management of IGS via budgeting and reporting.

As the company is expected to grow, it is anticipated that this post holder would have scope to build a team to support their responsibilities.

KEY RESPONSIBILITIES

Centre Finance Function (75%)

  • Accountable for finance function including financial and management accounting.
  • Responsibility for Accounts Payable, Accounts Receivable, payroll, and banking/cash management.
  • Liaise with auditors, tax agents, corporate secretary, and government departments.
  • Be responsible for the preparation of the company’s financial and management reports, including grant reporting for public grant at both corporate and project level.
  • Budgeting and forecasting.
  • Maintaining a strong financial control environment
  • Liaise with auditors on year-end audit, including preparation of audit schedules and statutory financial statements.
  • Assist in new processes and system implementation when required.

HR Support (20%)

  • Be a friendly, efficient first point-of-call for researchers and other staff members working on the programme for enquiries on HR and other administrative matters;
  • Administer recruitment, appointment, on-onboarding, probation, appraisal and leaver processes;
  • Supporting the administration of HR system and Assist staff with general HR processes, such as booking leave, sickness management, visa matters, organising appraisal schedules and utilizing the benefits package;
    Ensure up-to-date records are kept of all necessary staff information, that are compliant with local employment laws and regulations;
  • Assist with ensuring the Employee Handbook is always up-to-date and that other information needed is easily available via staff intranet & elsewhere;

Other Duties (5%)

  • Regularly review & develop centre research and financial support structures, procedures, and policies to ensure an efficient and effective service.
  • Contribution to broader performance and delivery reporting to external parties.
  • Contribute to any business development initiatives as required.
  • A commitment to the development and implementation of process improvements where identified
    Undertake any necessary training and/or development.
  • Attend relevant meetings.
  • Be a proactive member of our small, friendly administrative team and take pride in providing an excellent support service to our researchers and scientists.
