Administrator – Operations/ Production

Major Duties & Responsibilities:


· Responsible for verifying production related data entry (goods received, work order, goods issue) and ensure that these figures tally, including handling of photos; to work closely with shopfloor team & to resolve data discrepancies when required


· Responsible for overall management of documents - numbering, sorting, filing, storing, distribution and retrieval of both electronic and hard copy documents produced by operations function, reviewing accuracy & editing for recency


· Data entry to software and MS office applications; Set up, copy, scan and store documents; Create templates and manage requests for documentation; File documents in physical and digital records and ensure appropriate storage


· Keeping track of incoming and outgoing inventory/ stock within production function & rectify any stock discrepancy


· Prepare month-end stock/ inventory closing report for submission to finance; packing list and/ or cargo source for sales/ clients where required


· Liaise & process purchase order for all Ops related purchases


· Report & monitor monthly Ops expenses including expendables


· Assist in coordinating for safety related activities with FSM & HR – monthly inspection, corrective actions, trainings, replacement/ acquisition of safety items (fire extinguishers, first aid box, etc)


· Monitor and coordinate 5S and housekeeping for production rest area and Ops office


· To assist Ops ad hoc duties and/or any other duties as requested by the supervisor.


Knowledge, Experience or Behavior Required to Perform Job Well


· Minimum a recognized diploma in any field, with relevant experience of no less than 3 years in operations/ production administrative support function


· Computer literate -MS office skills (including outlook) and familiar with international quality standards (eg. ISO9001, ISO14001, ISO4500 and R2v3) would be an advantage


· Attention to details, sensitivity to numbers given the nature of role, organized


· Good communication skills (written & verbal), with pleasant disposition and ability to multi-task


· Ability to maintain confidentiality of information shared
