Job Description
The Event Operations Manager is responsible for the seamless execution of all aspects of luxury events, from conceptualization to completion. This role requires exceptional organizational skills, a proactive approach, and a passion for delivering unparalleled client experiences.
Responsibilities:
- Pre-Event Planning and Coordination:Collaborate closely with the event planning team to develop comprehensive event operations plans.
Conduct detailed site inspections and vendor assessments.
Manage event budgets, timelines, and resources efficiently.
Oversee the procurement of all event-related materials and equipment.
Develop detailed event day schedules and run-of-show documents.
Coordinate with all event vendors and suppliers, ensuring seamless communication and delivery.
- Event Execution:Lead and manage on-site event operations teams.
Oversee event setup, including décor, audio-visual equipment, and furniture.
Ensure adherence to event timelines and schedules.
Manage event logistics, including transportation, accommodations, and guest services.
Resolve any on-site issues or challenges promptly and efficiently.
Maintain open communication with the client throughout the event.
- Post-Event Analysis and Reporting:Conduct post-event evaluations to identify areas for improvement.
Prepare event reports, including financial summaries and attendee feedback.
Manage event invoicing and payment processing.
Develop and implement process improvements for future events.
- Team Management:Manage and train event operations staff.
Provide ongoing training and development opportunities for the team.
Foster a positive and collaborative work environment.
Qualifications:
- Minimum of 3 years of experience in event operations, with a strong focus on luxury events.
- Proven ability to manage complex events with multiple stakeholders.
- Exceptional organizational and time management skills.
- Strong problem-solving and decision-making abilities.
- Excellent communication and interpersonal skills.
- Proficiency in event management software and tools.
- Ability to work under pressure and meet tight deadlines.
