Operation Executive

Job Summary:The Operations Executive is responsible for overseeing and coordinating the day-to-day operational activities of the organization. This role ensures the smooth functioning of business processes, enhances operational efficiency, and supports overall organizational goals.

Key Responsibilities:

1. Operational Management:Oversee daily operations to ensure efficiency and effectiveness.
Implement and monitor operational processes and procedures.
Coordinate with various departments to streamline workflow and resolve issues.

2. Process Improvement:Identify areas for improvement within operational processes.
Develop and recommend solutions to enhance productivity and efficiency.
Monitor performance metrics and implement changes as needed.

3. Resource Management:Manage and allocate resources, including personnel, equipment, and materials.
Ensure that operational resources are utilized effectively and efficiently.

4. Customer Service:Address customer inquiries and resolve issues promptly.
Ensure high levels of customer satisfaction through effective service delivery.

5. Reporting and Analysis:Prepare and present regular reports on operational performance and metrics.
Analyze data to identify trends, issues, and opportunities for improvement.

6. Compliance and Safety:Ensure adherence to company policies, procedures, and regulatory requirements.
Promote a safe working environment and ensure compliance with health and safety regulations.

7. Team Collaboration:Collaborate with team members and other departments to achieve operational goals.
Provide support and guidance to operational staff as needed.

8. Project Management:Assist in planning and executing operational projects and initiatives.
Monitor project progress and report on outcomes.

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Operations Management, or a related field. A Master’s degree or relevant certifications (e.g., Six Sigma, PMP) is a plus.
  • Language Known : English and Chinese must.
  • Experience: 3-5 years of experience in operations management or a similar role.
  • Skills:Strong analytical and problem-solving skills.
    Excellent communication and interpersonal skills.
    Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and relevant software.
    Ability to manage multiple tasks and projects simultaneously.
    Strong organizational and time-management skills.

Responsibilities:

  • Working closely with Trader overseeing operations relating to Contracts, Coordination of shipments with Suppliers/Customers/Ship Owners. Sound Knowledge of Shipping documentations.
  • Sound knowledge of Import/Export procedures, Letter of Credit, Documentary Credit and Bank Guarantees etc.
  • Daily coordination of shipment schedules, loading status and discharging status etc. Daily coordination with suppliers, customers, shipping agent, ship owners and banks etc for documentations or operational matters.
  • Must have good understanding of Bulk shipment operation and Laytime calculations. Generate operations report for management (For Executive level).
