Office Operations Manager

Responsibilities:

  • Enhance and optimize administrative systems, policies, and procedures through ongoing development and review.
  • Oversee and manage daily office functions, including reception services, mailroom operations, and overall office administration.
  • Track and control office-related costs, including supplies and equipment, and prepare the budget for the office management department.
  • Collaborate with internal teams on office management issues to ensure smooth operations.
  • Coordinate with landlords and Building Managing Agents (BMAs) on office-related matters.
  • Lead the initiative for digitizing documents and improving records management.
  • Supervise and manage office renovation projects.

Workplace Safety and Health (WSH) Committee:

  1. Create, implement, and maintain WSH plans to drive continuous improvement in safety performance and compliance.
  2. Ensure adherence to the WSH Act, relevant regulations, and contractual safety requirements for the protection of all personnel.
  3. Conduct regular safety inspections to ensure compliance with WSH standards.
  4. Identify and address unsafe work practices or conditions, recommending appropriate control measures.
  5. Maintain clear and effective communication with contractors regarding WSH issues and ensure timely resolution of safety-related concerns.

Fire Warden Responsibilities:

  1. Coordinate with the landlord/BMA when fire alarms are triggered.
  2. Participate in fire drill exercises organized by the landlord.
  3. Manage attendance for fire drills and oversee staff evacuation during these exercises.
  4. Regularly review and update evacuation plans as needed.
  • Provide future support for human resource operations as part of career development.
  • Perform any additional duties as assigned.

Requirements:

  • Degree in Business Administration or a related field.
  • At least 3 years of relevant experience in office management, facilities management, or project management.
  • Strong ability to engage and communicate with various stakeholders.
  • Proficiency in Excel, Word, and PowerPoint.
  • Capable of working independently and as part of a team in a dynamic environment.
