Job Purpose
This position supports the Finance, HR and Admin department and will be responsible for the day-to-day operation of the company, allowing the exposure for Finance and HR. This person will be involved in partial spectrum of accounting, human resource and admin work activities, including ad-hoc matters.
Roles and Responsibilities
Finance:
- Prepare and close monthly and annual financial statements.
- Monitor and follow up on the full spectrum of accounts receivable and accounts payable.
- Process payments to creditors through regular bank transfers.
- Prepare and submit quarterly GST returns.
- Maintain and update the fixed assets register.
- Manage cash flow forecasting and daily cash activities to ensure sufficient funds.
- Coordinate with auditors to conduct audits and ensure compliance with all applicable corporate laws.
- Prepare budgets and financial forecasts, providing insights and recommendations.
- Liaise with the company secretary for all secretarial work and statutory board requirements.
- Coordinate with banks and authorized signatories for any banking matters.
- Assist in enhancing internal controls and financial processes for continuous improvement.
- Perform any other ad-hoc duties as assigned by management.
Human Resource & Admin:
- To process monthly payroll, payroll reports and all mandatory government statutory submissions, including IR8A & IR21.
- Providing ongoing coaching, counselling and advice on HR policies, practices and solutions respective in-country CEOs and stakeholders, not limited to managing employee’s grievances and relation issues.
- Keep up-to-date, ensure and advise compliance with employment laws, industry practices and its application with current processes in HR daily operations to all levels, CEO and stakeholders.
- Coordinate, facilitate and support in Policies & Procedures, Employee Handbook, Work Structure, Job Description, and Position Description for all positions.
- To handle application and renewal of work passes, including any letters requested.
- To review and enhance the processes on HR rewards, retention, manpower, policies, procedures, engagement and performance management.
- To assist the end-to-end Talent Acquisition process within the organization across all levels.
- To facilitate Onboarding & Orientation process for newcomers, and Offboarding process, including maintenance of Organization Chart and Orientation Slide.
- To review, enhance and execute the performance appraisal and other compensation and benefit benchmarking structure.
- To maintain the HR System and employee records, including e-leave and e-claim module.
- To manage yearly company insurance renewals, supervise insurance broker and medical insurance company.
- To oversee admin & office operations such as pantry items and maintenance/decorations within the office.
- To plan, facilitate and coordinate company events and employee welfare.
- To source and coordinate trainings for employees across all levels.
Requirements
- Must have Diploma / Degree in Accountancy or a related field.
- Minimum 3-5 years accounting/audit work & HR experience, preferably in a public accounting firm.
- Proficiency in accounting software preferably SAP, XERO or Infotech and Microsoft office suite, particularly Excel.
- Ability to manage multiple tasks and meets deadlines in fast paced environment.
- Excellent analytical and problem-solving skills.
