Working Hours: Monday - Friday, 9:30 am - 6:00 pm (1-hour lunch break, unpaid)
Job Summary:We are seeking a Sales Support Engineer on a contract-to-permanent basis for 3 to 6 months. The ideal candidate should have prior experience in order processing or possess relevant qualifications in engineering (Diploma/NITEC/Higher NITEC). This role offers an opportunity for long-term employment with a reputable company.
Key Responsibilities:
Order Processing:
- Check and process purchase orders from customers.
- Issue and update Order Confirmations, and coordinate with the sales team.
- Liaise with factories and suppliers on pricing, orders, and delivery schedules.
- Review and provide feedback on documents from factories and suppliers.
- Prepare and send all necessary documents related to sales contracts to customers.
- Maintain and update the sales order book with weekly status reports.
- File and manage documents (both hard and soft copies) regarding purchase and sales orders, ensuring proper organization and uploading to shared folders.
- Address customer complaints related to delivery, shortages, or documentation issues.
- Coordinate with the accounts department to ensure payments are received before delivery, and manage outstanding debts.
Delivery & Inventory Management:
- Confirm delivery dates with customers and ensure timely goods delivery as per sales contracts.
- Coordinate with local and overseas forwarders for shipment and customs documentation.
- Manage logistics, including import/export and coordination with local suppliers.
- Update and control import/export status and shipment records.
- Perform goods receipt in Microsoft Dynamics NAV system and liaise with the accounts department for monitoring.
- Issue Delivery Notes and work with the accounts department for Proforma and Tax Invoices.
- Arrange transportation for goods delivery as per customer requirements and the sales contract.
- Manage freight and local transportation costs based on the costing sheet.
- Oversee inventory control using the Microsoft Dynamics NAV system and update stock reports.
Requirements:
- Minimum N-Level, with a Diploma/NITEC/Higher NITEC in Engineering preferred.
- Prior experience in order processing or a similar role is required. Experience in the engineering industry is an advantage.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
- Familiarity with Microsoft Dynamics NAV system or similar ERP systems is preferred.
- Excellent communication skills with the ability to liaise effectively with customers, suppliers, and internal teams.
- Ability to work under tight deadlines in a fast-paced environment.
