Job Duties:
- Security Management: Administer security door access, including setting up and removing access card user profiles and providing after-hours support.
- Mail and Reception: Manage incoming and outgoing mail, packages, deliveries, document distribution, and greet visitors.
- Office Operations: Ensure the office environment is clean and comfortable by overseeing daily operations.
- Supplies Management: Oversee office supplies, equipment, and pantry inventory.
- Facilities Maintenance: Supervise facilities services and maintenance tasks.
- Vendor Coordination: Liaise with vendors, contractors, and service providers to ensure efficient office operations.
- Travel Management: Arrange business travel, hotel reservations, temporary accommodations, and handle visa/work permit applications.
- Cross-Functional Collaboration: Work with various teams to ensure smooth workflow.
- Event Organization: Plan and coordinate office activities such as meetings, events, and town hall bookings.
- Compliance: Ensure all operations comply with policies and regulations.
- Additional Duties: Undertake any other tasks or projects as assigned.
Job Requirements:
- Diploma or Degree with 4+ years as an office administrator with experience handling over 500 employees.
- Strong facilities management, advanced Microsoft Office proficiency, and excellent organizational and communication skills.
- Detail-oriented, adaptable, and able to work independently and collaboratively in a fast-paced environment.
