Job Description
- To schedule centre visits and initial screening with appropriate follow up on client enrolment matters and timely updating of centre records.
- To monitor and track client movements such as class placements including year-end placements, waitlist updates, follow up on enrollments, internal transfers, exits, tracking and timely updating of graduands on monthly or termly basis, as required by programme.
- To ensure appropriate documentation and timely submission of client related matters on internal/ external client data management system such as attendance, movements within continuum programmes including updates for monthly dashboard and muster audits.
- To be responsible for timely submission of client assessment data on internal/ external client data management system with tracking of outcome data for centre audits as required by funders.
- To work closely with Centre Admin for tracking programme fee collection and arrears, including relevant documentation as required by Finance Audits.
- To work closely with Centre Manager for annual budgeting and procurement of centre resources with tracking of centre budget and assets on monthly basis.
- To assist the Centre Manager in ensuring that the centre and physical environment is conducive through planning and executing fire drills, follow up on health and hygiene matters and conduct weekly environmental checks on facilities and resources.
- To conduct risk assessment and develop emergency response and crisis management plans, business continuity plans with implementation of the plans as and when required.
- To support Centre Manager in administrative matters such as tracking of staff leave, incident reports, liaison with facilities and external vendors to ensure smooth operations of the centre.
- To lead, coordinate and implement effective programmes or activities by working collaboratively with the various internal/ external stakeholders including volunteers for planning and coordinating community initiatives (integration/inclusion) and termly learning journeys or class outings.
- To work closely with Centre Manager to ensure centre operations related work processes, SOPs and/or workflows are timely reviewed, shared and adhered to by all staff.
- To assist in centre ad-hoc projects/committees/celebrations as and when required.
To perform ad-hoc assignments as and when directed by Lead Educators, Programme Lead, Centre Manager and/or Senior Centre Manager - To perform any other duties as directed by the Centre Manager, Senior Centre Manager, Assistant Director, Director and/or CEO
Job Requirement
- Minimum Bachelors in Business Administration, Management, or related field
- Proven experience in administrative roles, with at least 3 years of experience in a leadership or supervisory capacity.
- Excellent organizational and multitasking abilities, with a keen attention to detail.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Exceptional communication skills, both verbal and written.
- Ability to work effectively under pressure and prioritize tasks to meet deadlines.
