We are seeking a highly organized and proactive Secretary to provide comprehensive administrative and
secretarial support to Director. This role involves handling both business and personal matters, ensuring
the smooth operation of daily activities.
Key Responsibilities:
- Manage the Director’s calendar, including scheduling meetings and appointments.
- Take minutes for internal and external meetings.
- Handle all travel arrangements, including flight reservations, hotel accommodations, and visa
applications for the Director and their family members. - Maintain an efficient filing system and ensure proper documentation.
- Coordinate the Director’s personal matters, including household equipment maintenance, banking,
and other assigned tasks. - Assist with all online and offline applications, including bi-weekly COE bidding.
- Monitor and ensure the timely renewal of company property licenses and staff insurance.
- Assist with building maintenance and facilities management.
- Manage office administration, including coordinating with service vendors, handling renovation,
equipment purchases, and maintenance. - Plan and organize company events, ensuring all logistics are in place.
- Welcome VIPs and guests, providing beverages if needed.
- Ensure cleanliness and tidiness of the office, reception, and pantry areas.
- Act as the point of contact among staff members and external parties.
- Assist with staff onboarding and offboarding processes.
- Communicate with government authorities like JTC, BCA, etc.
- Review and check all quotations and sales/purchase agreements before submitting them to the
Director for approval. - Follow up on all matters in a timely and professional manner, reporting on progress and results.
- Provide support for other projects and assignments as required by Management.*
Requirements:
- Only Singapore Citizens and Singapore Permanent Residents (SPR) may apply.
- Diploma in any discipline.
- Previous experience in a similar role is preferred.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Excellent communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information.
- High level of professionalism and attention to detail.
- Location: Toa Payoh, Singapore
- Working Hours: 5-day work week, 9:00 AM to 6:00 PM
